4 steps to delegating to a Virtual Assistant

  1. 1. 4 Steps to Delegating to your Virtual Assistant Passing on the “baton” will be painless if done right! 1 Debra Pugh VA 760-832-1585 www.debrapughva.com
  2. 2. Debra Pugh VA 760-832-1585 www.debrapughva.com 2 4 Steps 1. List 2. Prioritize 3. Choose 4. Delegate
  3. 3. Make a List Make a list of all of the things that you need to get done or simply don’t have time or the skills to do. Some possible examples that you can consider delegating: editing, proofreading, formatting, and publishing it to your website/blog or social media. You can be fairly general with your list at first; you could always add to it or expand it later. Check out my services page for some ideas. Putting it in list helps you to make it clear in your mind what you want and need to get done and then you can go on and do the next steps. 3 Debra Pugh VA 760-832-1585 www.debrapughva.com 1. List
  4. 4. Blog Social media Website Events Scheduling Newsletter Research Data entry 4 Debra Pugh VA 760-832-1585 www.debrapughva.com Example: A (first draft of list)
  5. 5. Debra Pugh VA 760-832-1585 www.debrapughva.com 5 It just depends on your business needs. Your list may be short Or your list may be long
  6. 6.  Blog – You have blog posts written that you haven’t had the time to edit and to publish on your blog. They look unfinished, need to be edited, formatted, photos added and then get them published and posted to social media.  Social Media – You have twitter and Facebook posts that you’d like to get published but you just haven’t gotten around to it yet.  Website – You need your website updated or possibly you need a new website designed and populated with your information.  Events – Your website needs to be updated with schedules of upcoming events. You may not have the skills to do it or the time to update your site.  Scheduling – you need to schedule events or trips or any other thing the needs scheduled that can be delegated  Newsletter – you want a newsletter published monthly or weekly with content that you have written or articles from others and news pertaining to your business field.  Research – any research done for reports or papers that you need to write.  Data entry – database data that needs to be maintained, updated etc. Debra Pugh VA 760-832-1585 www.debrapughva.com 6 Example: B (expand on your list)
  7. 7. Now that you have your list of projects needing to be done lets move on to the next step. Be honest – that wasn’t too bad was it? Debra Pugh VA 760-832-1585 www.debrapughva.com 7
  8. 8. Prioritize your List Now that you have your list made it is time to prioritize when they need to be done. Some things will need to be done on a regular basis, monthly, weekly etc. Some projects are a one time job. Debra Pugh VA 760-832-1585 www.debrapughva.com 8 2. Prioritize
  9. 9. • Blog – You have blog posts written that you haven’t had the time to edit and to publish on your blog. They look unfinished, need to be edited, formatted, photos added and then get them published and posted to social media. (Weekly) • Social Media – You have twitter and Facebook posts that you’d like to get published but you just haven’t gotten around to it yet. (Weekly) • Website – You need your website updated or possibly you need a new website designed and populated with your information. 10. 10. You are making great progress. Now that you have the projects prioritized lets move on. Debra Pugh VA 760-832-1585 www.debrapughva.com 10
  11. 11. Debra Pugh VA 760-832-1585 www.debrapughva.com 11 3. Choose Choose projects Once you have your list made you should read through it again and mark the things that you feel you do have the time to do. Don’t make the mistake of thinking that you have time to do it all; because more than likely you don’t have the time or you wouldn’t be thinking about delegating to someone else. Be honest with yourself, do you really have time to do those things or would you be better off to delegate them to someone else? Delegating will allow you to be more productive, to have time to do the things that only you can do, or to spend time with your family and enjoying life.
  12. 12. (Monthly) • Events – Your website needs to be updated with schedules of upcoming events. You may not have the skills to do it or the time to update your site. (Monthly) • Scheduling – you need to schedule events or trips or any other thing the needs scheduled that can be delegated • Newsletter – you want a newsletter published monthly or weekly with content that you have written or articles from others and news pertaining to your business field. • Research – any research done for reports or papers that you need to write. • Data entry – database data that needs to be maintained, updated etc. Debra Pugh VA 760-832-1585 www.debrapughva.com 12 Example D: (mark what you know you can do) In this example I have decided that I can post to my social media and post my events on the website, but don’t have time to do the rest.
  13. 13. Now that you have identified the things you feel you can do you are ready for the next step. Debra Pugh VA 760-832-1585 www.debrapughva.com 13 (Don’t forget that if you see you aren’t going to get a project done yourself you can always delegate it to your Virtual Assistant.)
  14. 14. Debra Pugh VA 760-832-1585 www.debrapughva.com 14 4. Delegate Delegating the projects The items on your list that are left are to be delegated to your Virtual Assistant. Sometimes it’s hard to delegate to other people because you want to do everything yourself or you don’t believe anybody else can do it quite as well as you. Let’s face it, it’s scary to relinquish something to someone else and have them do it for you, especially if you haven’t worked with them before.
  15. 15. Take a deep breath and let it out! Realize it will be okay, it’s okay to let someone else help you, it’s okay to delegate to a Virtual Assistant. That’s what they’re there for to help you, to make your job easier, to make you more productive. Debra Pugh VA 760-832-1585 www.debrapughva.com 15
  16. 16. Giving your Virtual Assistant a list of projects that need to be done, any specific instructions how you would like the project done and then a deadline is the last step. You don’t need to micromanage; if you have a good Virtual Assistant they will get your project done and get the finished project back to you or show you the results in a timely manner. You also need to make sure they have all of the data required to do the project – this is very important so don’t forget!!! Debra Pugh VA 760-832-1585 www.debrapughva.com 16 Ready, Set, Delegate
  17. 17. • Data entry – database data that needs to be maintained, updated etc. • Research – any research done for reports or papers that you need to write. • Scheduling – you need to schedule events or trips or any other thing the needs scheduled that can be delegated • Website – You need your website updated or possibly you need a new website designed and populated with your information. • Blog – You have blog posts written that you haven’t had the time to edit and to publish on your blog. They look unfinished, need to be edited, formatted, photos added and then get them published and posted to social media. • Newsletter – you want a newsletter published monthly or weekly with content that you have written or articles from others and news pertaining to your business field. Debra Pugh VA 760-832-1585 www.debrapughva.com 17 Example E (list of things for VA to do)
  18. 18. Debra Pugh VA 760-832-1585 www.debrapughva.com 18 It can be a scary endeavor to turn over your projects to someone else.
  19. 19. Debra Pugh VA 760-832-1585 www.debrapughva.com 19 You may want to start small, just pick one project out of the list and delegate it. This will give you an opportunity to see their work and see how you work together. Then you can delegate more projects in the future.
  20. 20. Debra Pugh VA 760-832-1585 www.debrapughva.com 20 Or jump in with both feet by delegating them all at once.
  21. 21. Debra Pugh VA 760-832-1585 www.debrapughva.com 21 Delegating And have more time for this. You will have less of this
