  2. What is a Document?
    • A “document” is a collection of data, regardless of the medium on which it is recorded.
    • Documents include both paper and electronic.
    • Document, from Latin “documentum' and “doceo” literally refers to teach, both for giving instructions and for warning purposes.
    • The process of systematically collecting, organizing, storing, retrieving, and disseminating information.
    • A process used for the purpose of learining or sharing or for recording intellectual property.
    • Output of documentation process can be written, visual and audio information about for example, an object, a practice, a product or an event.

    • AKIS/RD system integrates farmers, agricultural educators, researchers and extensionists to harness knowledge and information from various sources for better farming and improved livelihoods.

  4. Why Documentation in Agriculture?
    • Abstracts: A short summary of an article or book; abstracts are provided along with citation information in many periodical indexes, and may be written by either the paper's author or an indexer.
    • Almanac: A book published every year that contains facts and information such as important days, times of the sun rising and going down or changes in the moon
    • Annual Reports: A printed publication, usually less than 100 pages in length, submitted each year by the officers of a publicly held companym or organisation to its board of directors (or other governing body)‏
    • Book: A set of pages that have been fastened together inside a cover to be read or written in.
    Types of Documentation
    • Case Study: A detailed account giving information about the development of a person, group or thing, especially in order to show general principles
    • Dictionaries: A book that contains a list of words in alphabetical order with their meanings explained or written in another language, or a similar product for use on a computer:
    • Digest: A collection of previously published material, such as articles, essays, or reports, usually in edited or condensed form. Usually organized in a systematic or classified order.
    • Directories: A book which gives a list of names, addresses or other facts
    • Encyclopedias: A book or set of books containing many articles arranged in alphabetical order
    Types of Documentation
    • Guide: A book which gives you the most important information about a particular subject
    • Handbooks : A book which contains instructions or advice about how to do something or the most important and useful information about a subject
    • Journal: A serious magazine or newspaper which is published regularly, usually about a specialist subject
    • Magazine: A type of thin book with large pages and a paper cover which contains articles and photographs and is published every week or month
    • Manual: A book which gives you practical instructions on how to do something or how to use something.
    • Manuscripts: An original copy of a book or article before it is printed
    Types of Documentation
    • Monograph: A long article or a short book on a particular subject
    • Newsletter or Bulletin: A printed document containing information about the recent activities of an organization, which is sent regularly to the organization's members:
    • Occasional Papers: Information Published on an special event
    • Pamphlet: A thin book with only a few pages which gives information or an opinion about something
    • Policy Briefings: A document which outlines the rationale for choosing a particular policy alternative or course of action in a current policy debate. It is commonly produced in response to a request directly from a decision-maker or within an organisation that intends to advocate for the position detailed in the brief.
    Types of Documentation
    • Position paper: A summary of a country's position on a topic
    • Reports: (Project Reports, Research Reports, and Technical reports)- A formatted and organized presentation of data.
    • Training Calendar: A document which gives total training programmes of an organisation in a calendar year.
    • Working Papers: Working Papers are pre-publication versions of academic articles, book chapters, or reviews.
    • Yearbooks: A book published every year by an organization, that gives various facts about the events and achievements of the previous or present year.
    • Success Story: An account of achievement of something desired, planned, or attempted.
