  • FEDERATION OF STUDENTS SPECIAL PROJECTS FUND Providing all students with an opportunity to amplify and optimize their interests FUNDING CRITERIA The Special Projects Fund is administered by the Internal Funding Committee of the Federation of Students. The fund functions not as a supplement but as a complement to existing sources of funding. The fund is not meant to promote either Students’ Council or Federation of Students; rather, the fund seeks to promote the mutual and inclusive interests of undergraduates at large. To be eligible for funding, either an individual or group must fulfill these criteria: 1. All prospective recipients must be undergraduates at the University of Waterloo. 2. The project should be unique and once occurring, not ongoing. It is preferable that the project benefit students at large rather than individual recipients. 3. Projects are amenable to funding to the extent that they offer opportunities liberally among undergraduate students at the University of Waterloo. Projects which are either selective or restrictive within the undergraduate community shall be directed to other avenues of funding. 4. All other sources of funding must be either unavailable or insufficient. 5. All prospective recipients must complete an application for funding, with adequate time (one (1) month suggested) before the event, to be considered by the Internal Funding Committee. Application forms are available online at www.feds.ca. 6. Applicants may be required to complete an assessment of their project to be reviewed by the Internal Funding Committee. Assessment forms are available online at www.feds.ca. 7. All applicants must be prepared to present their proposal to the Internal Funding Committee. 8. Funds of the Special Projects Fund are intended for upcoming events and are not intended for reimbursement of project costs for past events.   • After the completion of the above information, you must also attach the following documentation to this application: 1. Description of Project The Federation of Students’ Special Project Fund grants funding to unique, one-time projects which offer opportunities liberally (neither selectively nor restrictively) among undergraduate students at the University of Waterloo. Please give a brief but thorough description of your project. Describe what students shall benefit from the fund and how; also describe the extent to which your proposed project shall be accessed by and accessible to participating students. 2. Promotion of Project You must promote your project to undergraduate students at large at University of Waterloo, who must be informed of their access to the project and its results. Please describe your planned promotional efforts. If possible, attach the promotional materials which you will use. 3. Itemized Budget Your project must be accompanied by an itemized budget so that the Internal Funding Committee is able to properly assess the project and the funding requested. Your budget must include the following: □ amount of funding requested □ itemized budget breakdown □ price quotes from three (3) separate vendors per item Provide detail and specificity in your budget, using the example at the end of this application. In addition, you must provide a list of other funding avenues (university funds, personal contribution, fundraising activities, etc) which you have pursued and whether you were approved or denied funding. Please attach a final list of all other additional funding for which you have been approved. If you expect any revenue from this project, please include an estimate. The Special Projects Fund is intended for projects for which all other sources of funding are either unavailable or insufficient. 4. Participants Please include a numbered list of participating students, their student numbers, and the programs in which they study. If any participants are not students, please include their names as well. This list is intended for those individuals who help in the planning of the event. In addition, please provide either an estimate or an accurate number of individuals who will be participating in the finished project. Please note that the Special Projects Fund and the Internal Funding Committee give preference to those projects which have a large participation base of University of Waterloo students. 5. Timeline of Project Please attach a timeline of activities for your project including any prep work. The timeline should include a proposed date of completion.
  • THE INTERNAL FUNDING COMMITTEE WILL NOT CONSIDER YOUR REQUEST WITHOUT THE ABOVE DOCUMENTATION. The Internal Funding Committee will consider your funding request at its next meeting. Please note that all Internal Funding Committee decisions are final. REMEMBER: If you do receive funding from the Special Projects Fund, you may be requested to submit a project assessment to the Internal Funding Committee immediately following the completion of your project. This assessment must include, among other things, a finalized list of participating students, an itemized account of the project, and proof that the project has fulfilled its commitments. An assessment form is available from the Feds office. Funding may be withdrawn if: the funds are misspent or spent on items other than those specified and agreed upon in the approved proposal; Internal Funding Committee requests and/or conditions are not met to the satisfaction of the Internal Funding Committee; the final project differs from the original contract of the agreed project between the Internal Funding Committee and the project recipient(s).   • 1. Description of Project Our project is designed to educate the UW community, especially those frequenting Bombshelter, Federation Hall, and the Grad House on the negative effects of alcohol. This will be accomplished through the design and output of coasters within aforementioned bars which are labeled with potential life-saving facts and relevant information. Any student who chooses to use the campus bars will come into contact with our product and hopefully learn some statistics on drunk driving, binge drinking, and other alcohol related facts through our coasters. Although only students who utilize the campus bars will be able to access our product directly, we will be submitting an article to the school newspaper relating to the information that will be placed on the coasters as well as have an info booth in the Great Hall on November 20 (the ‘due date’ of the project) to inform all students about safe drinking habits. 2. Promotion of Project As previously mentioned, we will be supplying information about our finished product with a booth in the Great Hall on the due date. Also, on Clubs Days, happening in the first few weeks of the new term, we will advertise our project allowing any student to lend a hand in the completion of the coasters and the information booth. Since the coasters will be an on-going source of information, we feel there is not a big need for promotional efforts for the finished project besides an article in the school newspaper. 3.
