  • We zijn een hogeschool met ruim 500 personeelsleden en 6000 studenten.Enkel personeelsleden gebruiken dit platform als intranet.
  • Folderswithunstructured data, manysubfolders, somewithhardlyany documentsTransfer to document libraries, with columnsRisk: simplyreplace folders by document libraries or sites and/or create folders within a libraryChooselibraries on the basis of requirements, functionalitiesGrouped view -> to make transitioneasier
  • While transferring documents from folders to document libraries, itbecomesobviousthatthere is analternative. Twoalternatives: lists andwikisExample of list:Each course generates 4 documents for each student. If there are 100 students we get 400 documents for each course. We can use a list with a few columns to replace this. You can extend the possibilities by using views on that list.A document is an isolated silo of information. You often have to open the document and browse it to view the content or structure. By using Wikipages we share the information in a clear way. It is very easy to link wikipages with each other or to generate an document index.lists: team meetingVoorbeeld wiki: dienst veiligheid.

  • Do not push the news intoeveryone’s mailbox. Let the users chose their own newssources. It’s like choosing between one fixed prepared menu or a self-service collect-and-go meal.Users can define a daily, weekly newsoverview or subscribe by RSS with their favorite RSS reader like Outlook.Example: weekly menu was mailed to all staff members, is now published as list and those interested can take subscription
  • Do not mail documents to each other’s mailbox.TIP: Share documents from Outlook to SharePoint: http://harmon.ie/TIP: Put the hyperlink behind some textTIP: shorten the hyperlink by using http://bit.ly or http://tinyurl.com or (internal) http://m.howest.beExample: presentations, send link not the powerpoint document. When you send the physical document, you lose ownership of that document. It creates storage issues with the receiving party.
  • Result: documents are generated without email traffic. The work is done by the workflow.
