  • Too many photocopied paper forms needing to be typed to complete (yes, we still have typewriters)
  • Computer-generated forms from our master database
  • Business cards paper clipped to drafted letters, not using our standard letter format
  • Standard templates used and filled in from our master database
  • Note where to install the macro—copy into the startup path of MSWord. MSWord Help or IT can help you find that path.
  • All of the fields are available, including custom fields and gridsWe don’t use the graphics portion of the merge macro bc we don’t use custom proposals—but we still use graphics and have a workaround trick (show later)
  • Review the different types of codes and why they’re important
  • Walk through a sample of merge codes and describe how the codes tell MSWord what Vision fields/data to pull into the merged documentInclude discussion of applying formatting to fields and how it translatesInclude additional examples as time permits (poll audience for one to try?)
  • Outline steps to create the transmittal coversheet template and demonstrate in MSWordStart with a template you have already designed/laid out, then add the codes using the merge macroTricks: Make your begin statement 1pt font if you don’t want it to affect spacingBe sure every begin or relational code (containing a colon) has a matching end (think parentheses)
  • Demonstrate uploading a template
  • Show merging transmittal sheet and note time savings and consistent data
  • Using the employees info center and resume categories for different sections (note that this is NOT resume by query) (open and review sample merge code template if time)

  • Show sample opportunity record to copy from; not really a template, but you can give default data for opp entry. Assign a default profit center and/or manager and use workflows to audit data for new opps where these defaults were not properly changed
