However, small and medium-sized hospitals have restricted budgets to invest in the latest technology infrastructure, applications and ongoing systems management. This is the case at West Park Hospital, a primary, full-service medical center located in Cody, Wyoming. The organization, which serves communities across Wyoming’s Big Horn Basin, operates a 25-bed acute-care facility, a 94-bed long-term-care center and a 20-bed chemical dependency center. To streamline administrative and financial processes and deliver high-quality patient care, the hospital uses healthcare IT applications from MEDITECH. To improve the experience for end users, support doctors as they make the transition to computerized physician order entry, and provide the best care for patients, the hospital decided to migrate from its legacy MEDITECH environment to the latest release: version 6.0. However, its existing infrastructure was not able to support the planned upgrade. Sharon Phelps, RN-BSN IT director at West Park Hospital, says, “We calculated that we would need 70 servers in our basement server room to support the latest version of MEDITECH. We just didn’t have the resources, time, space or skills to deploy and support such a large infrastructure in-house.” To deploy MEDITECH 6.0 without major investments in real estate and data center infrastructure, West Park Hospital decided to host the system on the Dell™ MSite cloud. This capability has been demonstrated by the hospital’s successful MEDITECH 6.0 deployment, which provides a wealth of new, value-added features for physicians and administrators, with no need for additional, in-house data center infrastructure. “We deployed MEDITECH 6.0 without physically extending our data center or needing new skills, hardware, power or cooling infrastructure,” says Phelps. “All the ingredients we needed for a successful MEDITECH 6.0 deployment came together quickly and cost- effectively with Dell.” As regulatory demands and technology evolve, West Park can add new features and functionality to MEDITECH and its other key systems seamlessly with the Dell MSite cloud. “The Dell MSite solution has given us more flexibility,” says Phelps. “Because we no longer have to deploy new hardware to support new applications and features, we can keep our MEDITECH environment and other software up to date without worrying about the infrastructure that supports it.” Dell staff help to ensure migration success West Park was able to streamline the migration from MEDITECH MAGIC to MEDITECH 6.0 with Dell. “We had weekly conference calls with Dell to work out hardware requirements for MEDITECH 6.0 and to migrate our MEDITECH infrastructure from our data center to the Dell data center in Plano, Texas.” The Dell staff assigned to support the migration helped West Park test the MEDITECH 6.0 software and configure the required add-on applications. “The Dell staff were vital to getting the hardware configured to support MEDITECH 6.0,” says Phelps. “We continue to have biweekly calls with our Dell account manager to help us support ongoing changes, upgrades and maintenance activities. It’s a helpful mechanism to keep communicating and proactively address any issues that come up.” Information security protects patient data and streamlines compliance West Park Hospital is protecting patients’ personal health information with Dell MSite, ensuring compliance with new privacy requirements outlined in the Health Information Technology for Economic and Clinical Health (HITECH) Act. “While many hospitals are struggling to deploy security and privacy solutions that comply with HITECH requirements, we are well ahead of the curve with Dell MSite,” says Phelps. “The multiple layers of security built into the Dell cloud provide far greater data protection than we could achieve hosting and managing systems internally.” West Park plans to launch a patient- facing portal to streamline compliance with Meaningful Use Stage 2 requirements for data sharing and integration of lab results with EHR systems. Reference number: 10012637 undertook a major penetration test and security audit, which found that our Dell infrastructure is completely secure from end to end,” says Phelps. “This will give us great peace of mind when we use MSite to host the new patient portal.” Service continuity helps to enhance patient care The hospital’s administrative and clinical services are now always available for staff and patients with Dell MSite. “Before, servers often went down for prolonged periods, leaving staff without access to patients’ records. We had overheating due to lack of cooling and several flooding incidents that interrupted access to MEDITECH for hours at a time,” says Phelps. “Now, we have a much more stable environment,” she adds. “With Dell MSite we have hardly any downtime due to data center issues.” Hospital reduces IT costs West Park has achieved significant savings by migrating its MEDITECH environment to the Dell MSite cloud. “To host MEDITECH 6.0 internally, we would have needed to buy 70 new servers and extend our physical data center. It would have been a herculean and extremely expensive project — and a difficult one to justify because data center infrastructure provides no measurable return on investment,” says Phelps. “With Dell MSite, we exchanged a major capital expenditure for a manageable monthly payment, which meant we could afford to deploy state-of-the-art systems that are usually available only to much larger hospitals.” Doctors adopt computerized physician order entry With less data center infrastructure to maintain, the technical team is providing vital support for physicians, helping them to adopt new physician order entry processes. “Thanks to Dell MSite, we’ve been able to spend time with physicians to help them make this major transition in working practices, and we’ve seen strong results in terms of increased adoption and end-user confidence,” says Phelps. The IT team is also much more responsive if a staff member experiences a support issue. “Because we no longer worry about data center infrastructure, we can spend more time on application and end-user support,” says Phelps. “In addition to increasing end-user satisfaction, we have been able to identify and address performance issues and optimize the performance of our MEDITECH applications.” IT team does more without increasing staff At the beginning of 2011, 10 full-time employees were needed to support hospital employees and systems. Today, with infrastructure outsourced to the Dell MSite cloud, the team is doing far more, with no additional staff. “Since 2011, we have added a number of new physicians, locations and IT systems,” says Phelps. “If we had to have all our hardware on- site and support it ourselves, instead of hosting it with Dell MSite, we wouldn’t have been able to do so much without recruiting additional team members.” West Park takes constant change in stride By outsourcing its data center infrastructure to Dell MSite, West Park has increased its agility.
