  • Hello, my name is Diana Ayling, I am an academic advisor at Unitec Insitute of Technology. I have a special interest in project management. Today I want to introduce you to a project management tool which I think is very suitable for academic projects in education organisations. The tool is an online application ZohoProject and I am going to show you some of the features and how it can help you, the project manager to be more productive and efficient..
  • Project management is both an art and a science. As project manager you manage the project scope,(the project outcomes) time (to ensure you complete it on time) and cost (to ensure the allocated budge is met). You may be interested to know that according to research Three quarters of projects fail, so your aim is to complete your project on time, within budget and meeting all the project outcomes. You want to do all this with the least stress and conflict.
  • Zoho Project is a cloud based application which can be used anywhere you have access to the internet and it allows you to share all the key information of the project with the project team, and build a project knowledge base.
  • To start using Zoho Project, you name your project and start entering theproject tasks, how many days they will take to complete and who will do them. You also add the project milestones, those important dates you need to meet. This will help you develop your project plan, your time scale and costs You can then share your plan with the project team.
  • The real advantage of Zoho Project over other free tools, is the sharing of documents, including spreadsheets and presentations. It includes a discussion forum for sharing ideas, and a wiki for capturing the key knowledge developed during the project. Zoho Project is compatible with Google docs and Zoho Doc so it is easy to keep track of the project documentation.
  • To help you work across geographical boundaries there is a chat function.
  • There is a function for scheduling meetings and
  • a shared calendar which tracks the progress of the project.
  • Zoho Project does not have a finance function, but it does allow you to share a budget spreadsheet with your team so you can keep track of the costs of the project.
