The answer to the question ―How long will it take?depends on the accuracy of the estimates, the consistencyof the work, and other variables within the project.The best a project manager can do is create honestestimates based on the information he’s been provided.Until the schedule is finalised, no one will know theduration of the project.
The tasks are first identified, the sequencing of theactivities takes place, resources are defined and thendurations are estimated. These activities are required tocomplete the project schedule and the estimated projectduration. These four activities are iterated as moreinformation comes available. If the proposed schedule isacceptable, the project can move forward.If the proposed schedule takes too long, the schedulercan use a few strategies to compress the project. We’lldiscuss the art of scheduling in a few moments. Activityduration estimates, like the activity list and the WBS, don’tcome from the project manager—they come from thepeople completing the work. They may also undergoprogressive elaboration.
The process of estimating schedule activity durations usesinformation on schedule activity scope of work, requiredresource types, estimated resource quantities, andresource calendars with resource availabilities.The inputs for the estimates of schedule activity durationoriginate from the person or group on the project teamwho is most familiar with the nature of the work content inthe specific schedule activity. The duration estimate isprogressively elaborated, and the process considers thequality and availability of the input data.
For example, as the project engineering anddesign work evolves, more detailed and precise data isavailable, and the accuracy of the duration estimatesimproves. Thus, the duration estimate can be assumed tobe progressively more accurate and of better quality.The Activity Duration Estimating process requires that theamount of work effort required to complete the scheduleactivity is estimated, the assumed amount of resources tobe applied to complete the schedule activity is estimated,and the number of work periods needed to complete theschedule activity is determined.
All data and assumptions that support duration estimatingare documented for each activity duration estimate.Estimating the number of work periods required tocomplete a schedule activity can require consideration ofelapsed time as a requirement related to a specific type ofwork.Most project management software for scheduling willhandle this situation by using a project calendar andalternative work-period resource calendars that areusually identified by the resources that require specificwork periods.
The schedule activities will be worked according to theproject calendar, and the schedule activities to which theresources are assigned will also be worked according tothe appropriate resource calendars.
