How to Write a Letter of Intent/Cover Letter

Dear Dr. XXX:
FIRST PARAGRAPH:
This is the “why I’m writing to you” paragraph. This is short – usually two to three
sentences. Points to cover:
• Why you are writing and to which position you are applying
• Why you are interested in this position or organization. Research the site; you
should know the specifics about the organization. Why you want to do your
training or why you want to work at this organization.
SECOND PARAGRAPH:
This is the “why I’m qualified” paragraph. Highlight some of your most relevant
experiences and qualities as they relate to the position for which you are applying. Be
specific. This is usually the longest paragraph of the letter. Points to ponder:
• The first sentence should be a hard-hitting opener. It is a quick introduction,
which is accomplishment oriented and directed at the skills and qualifications
needed for the position.
• The body of the paragraph should provide evidence to back up what you have
just claimed. Cite specific
experiences/jobs/research/leadership/activities/projects and accomplishments
associated with those experiences. The experiences and skills you mention in
your letter should be relevant to the position to which you are applying. Use your
resume/CV to generate ideas regarding specific examples, but never reiterate
passages from your resume/CV word for word. Strong and convincing examples
are important.
FINAL PARAGRAPH:
This is a short, two to four sentences, paragraph. You should refer to the enclosed
resume/CV and request an interview. Points to include:
• Your contact information (phone, email)
• It is vital that you thank the reader for his/her time and consideration.
