    1. Christ Presbyterian Church
      Taskforce Organization Model
      Reorganization Taskforce Members:

    2. The current system is not working
      Ministries are falling through the cracks- no one to lead them
      Many Session members still functioning as Team Leads
      People are hesitant to join a “team”, as the job seems too large and daunting
      Why make a change?
      • There is frustration over the lack of function
      • A desire to expand congregational participation and leadership, in order to further empower members to claim their Christian vocation
    3. Create a system that:
      Organization Goals
      • Is both accountable and fluid
      • Allows the vision of God as discerned by the Session and the congregation to be the guiding principle of all CPC ministries
      • Expands the congregational ownership, leadership and participation in the ministries of CPC – Empowering Our Members
      • Focuses on relationship-based ministries
      • Allows active Elders to be the permission-giving, vision-based leaders not the doers
      • Is able to provide for both the ongoing ministries and help develop new ministries (including short term)
    4. What will it look like?
      • Based on the “Trinity of Relationships” explored in the Unbinding Your Heart study
      • Elders Team together (3 panels of 3 Elders) to coordinate relationship areas.
      • The current ministry team structure will be divided into smaller “tasks” and reallocate to relationship areas
      • Ideas for new ministries (from congregation members) would be referred to the Elder relationship area panel (and the full Session if necessary) for review as to whether they fit into CPC’s current mission/vision
      • If approved, the Elder panel will identify a task leader to create a taskforce for implementing the program
      • If no leader or volunteers can be found for an approved taskforce, the program is not implemented

      Establish and continually review church vision
      Continually review ministries to maintain vision focus
      Review/approve ideas for new ministries or events referred by Elder Relationship Area Panel
      Review reports prior to the Stated Meeting – discuss only action items and new ministries

      Continually review existing ministries
      Review ideas for new ministries
      Approve, disapprove or refer to full Session as required
      Recruit Task Leaders and members for ministries in assigned area
      Provide Task Leaders with parameters, goals, budget, schedule
      Receive reports from Task Leaders, assist in issue resolution, forward to Session
      Continual review of leader assignments for on-going tasks
      Administrative

      Use parameters provided by Elder Relationship Area Panel to “run with” the idea
      Task Leader:
      Recruit congregation members to assist or fill in sub-task areas
      Provide regular reports of status & issues to Elder Relationship Area Panel
      Document procedures, plans, contacts, schedule & costs for future reference
    7. Organization ‘Roll-Out’ and Transition
      • Reorganization is given preliminary approval for presentation to the congregation at this meeting
      • Elder liaisons of will present currently active ministry teams with this new structure at their regularly scheduled or special called team meeting
      • Explain new process and what it means for them
      • Identify any missing tasks
      • Identify current “Task Leaders” or open positions
      • Re-org. taskforce members will attend to assist if desired
    8. ‘Roll-Out’ and Transition Cont.
      • Re-org Taskforce will host a series of informational meetings for the congregation
      Sunday, Sept. 20th @ 9:45 am & 12 pm
      Monday, Sept. 21st @ 7:30 pm
      Wednesday, Sept. 23rd @ 10 am
      Thursday, Sept. 24th @ 7:30 pm
    9. ‘Roll-Out’ and Transition Cont.
      Re-org Taskforce will consider any suggestions given during informational meetings and bring a final proposal to the October Stated meeting of Session
      Elders grouped into 3 Relationship Area Panels- Think about where you are called to serve
      Panels’ first task is to find Task Leaders for open positions in existing programs
      Each Panel will establish its own process and schedule for reviewing task/ministry requests, continuous review of existing programs, receiving reports, and resolving action items
      • Feedback of “how it’s going” will be a standing Session agenda item
      • Full review and consideration of changes to be done at June 14, 2010 Session meeting
    10. Forms to be used:
      • Ministry Initiation Form
      • Completed by congregation member or group desiring to implement a new ministry, event or “task”
      • Ministry Status Reports
      • Submitted by Task Leader to Elder Relationship Area Panel
      • Monthly Status Reports when there is an activity or issue to be resolved
      • Ministry Completion/Annual Report at the completion of a short-term ministry task, or annually for long-term and on-going ministries
      • Task Leader “Standard Operating Procedure” Notebook Guidelines
      • Includes guidelines for Task Leaders on the information that should be documented
      • Can be passed on to future leaders of the ministry task to minimize “reinventing the wheel”
