Mr. J.B. Bhaskar (CIO & Executive Member, SBI Life Insurance) shared his experience of setting up a reliable Email solution for SBI Life.

He explained the challenges faced with the earlier email system and how they found the solution provided by Mithi in partnership with Trimax met their exacting standards.

He summarized several benefits experienced from the new mailing system in areas like Email delivery, Archival compliance, System uptime, DR site availability, Spam filteirng, Admin console, Pay as you use mail boxes, etc.

  3. Glimpse about SBI Life SBI Life Insurance is a joint venture between State Bank of India and BNP Paribas Cardif. SBI owns 74% of the total capital and BNP Paribas Cardif the remaining 26%. SBI Life Insurance has an authorized capital of Rs. 2,000 crores and a paid up capital of Rs 1,000 crores. • Vision : "To be the most trusted and preferred life insurance provider” • Globally first IT department in an Insurance company to get CMMi –Level 3 certification. • Awarded ISO Certification (ISO/IEC 27001:2005) for Information Security Management System (ISMS)

Challenges with old Branch Email System • Performance issue during morning & evening hours and during company wide broadcast messages due to huge queuing of emails • Daily average email transfer within Domain- 1,20,000 and outside domain- 60,000 • Daily minimum email data transfer was 20 GB and monthly more than 1 TB, huge data transfer • Non-scalable solution architecture to handle month end and yearend email traffic • Demand to relay more than 25000 emails per hour • Global address book management for entire group • Email security and compliance

New Branch Email System- Requirement • Email system as a service - Hosting out of tier-III plus professional datacenter - Dedicated hardware with high available design - Scalable email architecture to cater on demand load - Disaster Recovery Center with Auto fail-over - IMAP,POP, SMTP clients with secure connectivity onsite email administrator • Exchange of emails between HO and branches to happen locally without going through Internet cloud • SBI Life’s Global Address Book (HO and Branches) • Compliance :7 year archival and retrieval • Emails with attachment stripping

Discovery of vendor and RFP • Invited Request for Information to discover vendors , available products and past experience of bidders • Technical proposal invited from shortlisted bidder having comprehensive compliance list in RFP - Technical Specifications for architecture - Feature list desired in software - Hosting capabilities - Migration task and activity without loss of single email - Operation and support parameters - Tight SLA with Penalties

Selecting Best • Technical evaluation based on - Full compliance of functional requirements - Full compliance of technical parameters - Proof of Concept with design - Hosting capability verification of DC and DR - Reference check and validity - Past experience in handling hosted BFSI email solution and PSU based customer base • Best solution meeting highest technical compliance with least price won the bid

Migration Challenge • Migration of 8000 plus email ID with Data to new system - TB’s data to be migration from live boxes • Switch over of 7000 plus outlook clients to new system - Education to end user about change • 800 plus Branches across India to migrate to new system - We do not have onsite resource • Migration of email with password and personal information - First login would be challenge • Outlook configured without name server ( IP based) - No guarantee that clients had names server configured • To migrate entire setup overnight with Sunday as buffer day - Due to JFM no down time was available

Go Live • Setting up launching pad - Awareness building across organization for change - Self help document for all sort of client configration - Setup of central task force (war room) for extend help - Conversion of all clients to name servers resolution - Go live with SCD and security parameters of SBIL • Outcome of Go Live - Day one 5500 important email ID’s used successfully - Day two 7000 plus email ID’s used successfully - Centrally managed migration. No engineer visit at branch - Server and data migration within 8 hours in night time - Entire email system got stabilized within 2 days
