    • Chapter 1: Overview of the Company Company Background Legay of Wisdom Academy of Dasmariñas, Inc.  History In 1998, the school started educating the students. At first, it was just a pre-school department, but because of the owners and the first teachers’ perseverance and courage, the school grows bigger and bigger. Today, it already provides pre-school, elementary and high school education. The third commencement was conducted last year. As the school grows bigger and bigger, it’s not only the infrastructure that had undergone changes, but also the systems. As it becomes bigger, the number of students and educators is also increasing. And as the number of the school’s population is increasing, more educated and skilled students are being produced. Today, the number of students has gone up from 35 in 1998 to approximately 780.  Offers Legacy of Wisdom Academy of Dasmarinas, Inc. (LWAD) offers education from Pre- School up to High school. It also offers different kinds of activities, organizations and clubs, which students can be involved in, in order to harness, not only the intellectual ability of the students, but also other skills that would help them attain each and every goal they have in their lives. • Statement of the ProblemThis kind of system being used helps a lot on the organization of data in the said school. It provides the needs of the school, but some problems and errors are somehow beingproduced or seen. The main problem in the transaction or enrollment process is its slowness. This problemaffects the customer-school relationship. The degree of likeness the customers haveabout the school is being affected. Other customers tend to find other schools, whichhave better, faster and easier enrollment process.  This problem is caused by different factors like:  Failure of inputting data in the software  Mistyped information or data  Wrong placement of information in the Excel  Wrong formulas being used in the said softwareSome of the problems produced are due to the personnel who are inputting data. Mostof the problems that occur are not intended by the personnel or employee. These smallproblems produce greater ones. For example, mistyped information may cause wrongdata in the computer (like grades, payments) that will produce an error or problembetween the payers and the school. Payments and grades are one of the most importantdata that are being inputted by the personnel, that’s why mistyping such may cause bigissues like complications in enrollment, payment balance and grade results. • Objectives of the SystemThe school starts the enrollment system using only the Microsoft Excel to input theinformation about the students. By using this, errors had been occurred in their data orinformation, and retype it and start at the beginning of the process. There arepossibilities to decrease the number of students who enroll in this school because of theslow processing of enrollment. The system we do is for reducing slow process ofenrollment and to decrease error which is called Database Management. If theinformation of the student has an error, the system will automatically correct this in aneasiest and fastest way and can create accurate data right away. In this school, duringenrollment there are several papers that need to be filled out to finish the enrollmentprocess. So as to solve these problems, here are the actions of the system that will helpthe school’s enrollment system. To reduce errors to the information of the students To process the enrollment easily To avoid error including the background information of the student To compute the enrollment fees quickly and accurately To make a positive impact to the students who enroll To increase clerical operations of the enrollmentA new system may help the school and the office related to the said issues. This systemcan minimize your typing, avoid error/spelling and prevent misplacement of data orinformation of the student enrollees. A system can make the process faster because thestudents get bored of many papers that they’re going to fill out. We introduce our systembecause it lessens the paper-based system and might increase the school’s number ofenrollees. Database System Page 7 of 12
    • Significance of the StudyThe importance of the study is to identify the error in the existing system of the schooland to know that there is a better system to use. It also helps them to think for analternative system to make the process easier and faster. It helps the user to minimizeerrors or any misplacement of data to be recorded because there is a FAH or FileAssessment Holder that holds the entire folders and it is automatically exist to a dialoguebox (to know where it will be putted). It has a great impact to the school where it wasimplemented because it is efficient and effective system to make an easy-fast process ofenrollment or encoding data or files. The things that made our system effective are the tangible and intangible things such as: Tangible things  Accurate reports of the Enrollment fees  Less use of papers  Gives a copy of an assessment report Intangible things  Less time to spend  Avoid man-error  Fast enrollment  Easy-process enrollment  Fast transaction of payment  Easy collection of dataThe system we are offering will make the students and the school be satisfied because itwill be bring great impact or effect to the process of enrollment and payments. One thingfor sure is the system will give more benefits than the cost they will be spending. Database System Page 8 of 12
    • Scope and LimitationOur Database System has the capacity to:  Manage all the records of the students  Do an automatic enrolled and payment reports  Easy accumulation of data  Record all the payments of the students  Representation of OSR (Official Student Receipt)  Able to delete, add or edit data (in case of error)  Update the enrolled incoming students  Update the dropped students  Hold big numbers of enrollee  Ready-made RBT (Restore Bin Tab) [restore the deleted files]  Control the visibility of the student’s records  Copy of an assessment reportThe system we like to offer is the key for a great improvement of the school’s processesespecially enrollment and payment litigation. • Use CaseUse Case: Enrollment SystemAuthor: Bagual, Cabugao, Surigao, VegaDate: 22 February 2012Purpose: To know the process of enrollment in the Legacy of Wisdom Academy ofDasmariñas, Inc.Overview: The use case starts when the student enrolls in the Legacy of WisdomAcademy of Dasmariñas, Inc. The system requires the student to submit therequirements needed. The system accepts the requirements. If the requirements areapproved, the student can pay the tuition fee either in cash or in check. The systemchecks the amount of cash or check. If the amount of tuition fee is exact the systemgives an enrollment receipt.
