Searching TRIM with Funnelback - Presentation Transcript

    1. Searching TRIM with Funnelback Electronic Document Record Management Systems (EDRMS) store large amounts of structured and unstructured content and often form the information hub of an organisation. Funnelback now offers a search solution that has the ability to search TOWER Software’s EDRMS - TRIM. Funnelback’s TRIM connector enables organisations to leverage their corporate knowledge and their investment in TRIM by significantly increasing information accessibility. Funnelback search makes TRIM content more accessible to users. The Benefits of searching TRIM with Funnelback Search relevance Funnelback has the capability to search TRIM and return more relevant and user friendly search results than the embedded search facility. Funnelback offers an effective, high speed, engineered search solution. Funnelback uses a sophisticated ranking algorithm which can be tuned to perform optimally on the structure of TRIM content. Ranking can be adjusted to favour search results based on specific organisational or information requirements. For example, query term matches in selected metadata fields can be up-weighted to ensure that those documents appear higher in the rankings. Funnelback’s click feedback engine also enables user popularity to influence the search relevance over time. This engine monitors the search and retrieval patterns of users and enables the ranking system to learn to progressively up-weight the more popular records. Far-reaching search Funnelback can search structured and unstructured content including full-text and metadata in TRIM. Funnelback search can extend over the following: TRIM records; office documents (Word, Excel and PowerPoint); PDFs; HTML; XML; plain text; emails and attachments to emails. Records from the TRIM database are regularly extracted and the contents of electronic documents are filtered and indexed into a Funnelback collection. Funnelback can search many millions of TRIM documents and attachments with fast query response times. Easy to use web interface Funnelback’s administration interface is web based. It allows administrators to easily create, configure and monitor the status of document collections in TRIM. Document level security Funnelback integrates with TRIM security controls that restrict access to sensitive information from unauthorised users. Document level security provides the capability to control which documents are visible to users at the level of the individual document, rather than the more general collection level security. 2. Searching TRIM with Funnelback Additional search features When searching over TRIM, Funnelback provides a spellchecker, a synonym facility, stemming (grammatical variations) and support for advanced query operators. The Fluster Clustering Engine provides users with a set of related sub topics (clusters) related to their search query. An on-the-fly analysis is performed on an extended set of search result summaries. Commonly occurring phrases that meet certain criteria are presented along-side the search results and presented to the user as suggestions for refining their query. Fluster operates on structured and unstructured content and requires no manual setup of categories. The Funnelback folksonomy tagging facility enables end-users to tag search results using their preferred terminology. This aids the ability of users to find the information they want using the terminology they regularly use. Faceted Navigation allows users to navigate search results using “facets”, helping them refine their search. Faceted navigation is most useful when the information can be categorised in a number of different ways. TRIM administrators can define facets based on an organisation’s pre- defined categories (e.g. fields in a database record), as well as metadata fields, URL structure and pre-defined queries. TRIM administrators can specify featured pages whereby a set of TRIM documents appear in the results page whenever specific keywords are entered. For example you might wish to say that whenever a query containing the words ‘XXX’ and ‘YYY’ are submitted, attention should be drawn to file ‘ZZZ’ in TRIM. Results are grouped into tiers based on how many search terms have matched. HTML document view - Indexed documents are cached as part of the indexing process and are stored as a plain text document. This enables binary formats such as PDF and Word to be viewed as html through a standard browser. The search terms can also be highlighted within the HTML view. Reporting Funnelback provides valuable reporting functionality based on search activity such as the top queries, query volume, clicks on results and featured pages and queries which returned no results. Federated Enterprise Search Funnelback is also able to offer a federated enterprise search solution which can search over TRIM and many other content repositories enterprise-wide with a single query. Users can choose to search which repositories to search and document level security is maintained at all times. The Funnelback enterprise search solution offers significant productivity gains to staff by allowing them to find relevant information accross a range of data sources.
