Hello, friends of WorldAPP! Kimberli here, from WorldAPP training and development, along with my colleague, Josh Evans from Support! Today we’ll be taking a look at what’s new at WorldAPP!
First we’ll talk about our New Year’s resolution to learn new best practices for survey creation, distribution, and reporting! Then we’ll take a look at some of the new functionality that was released with our Holiday Upgrade to v7.4! You’ll also be excited to learn about our new Community contest, and Active member rewards! We’ll have a brief web poll for you, then take a look at some Frequently Asked reporting questions and answer any other questions you might have!
Before we get started, I just want to run through how to use the Go To Webinar control panel. Typically the control panel will appear at the top-right of your screen. You can click here to minimize the control panel…
Also, the control panel may automatically minimize after a short time, but you can click here to open the control panel again at any time.
In the larger window you will see my screen. You can click here to see the presentation in Full Screen mode. Question guy says: If you have any questions, please type them into the “Questions” field in the Control panel, and we will address them at the end of our webinar.
For the New Year, WorldAPP resolved to collect data collection Best Practices and share them with all of you! We have three Best Practice resolutions that we’d like to share with you today, but I also want to encourage you to visit community.worldapp.com and share your own best practice resolutions!
First, let’s talk about saving your own custom themes to your Theme Library. Did you know that you can save your survey designs to the theme library on your layout page, allowing you to quickly and easily apply the same theme to any new or existing survey in your account? *Go to Key SurveyWhen you create a new survey from scratch, the default design is your standard gray-and-white web-form theme. You can select a theme from the Theme Library on your survey’s Layout page, or you can create your own custom survey design from your survey’s Custom Layout page. If you have little or no experience with web design, you can use the Custom Colors layout page to format the colors, styles, font size, etc. After you design your survey, if you would like to save this design to your theme library to be used again for another survey, you can click the “Add New Theme” button from the Theme Library. (walk through steps of creating theme)If you do have some experience with web design, you can completely customize your survey via the CSS Styles page. Just below your style sheet is also a button to “Add to library”, so that you can save this design for future use. After you have added your custom theme(s) to your account, you can apply these themes to any new or existing survey. To apply a theme to a survey, navigate to that survey’s Layout page. Then click on a custom category or click “All” to see your themes. You can preview a theme by clicking the preview icon, or apply the theme to your survey by clicking the Apply button.
We frequently hear the question, “How can I reduce the number of invitations that are bounced back as SPAM or end up in my respondent’s Junk folder?” So based on common spam filters, we’ve put together a list of suggestions that will help your email invitations get greater visibility. 1. Use a real Email address as your "From:" Email address instead of a fictitious address. Consider asking your target respondents to add your Email address to their 'Safe- Senders' list if possible to avoid having your address being caught as unknown or untrusted sender. 2. Your email's "Subject:" line must not be empty. It should contain short description without any unnecessary symbols. 4. Avoid using embedded images within the email body and attaching files (documents, images, etc.) to the email itself. These can be treated as spam indicators. 5. Make sure your email looks competent and it does not contain all caps, superfluous punctuation, etc.3. Send your emails in 'Plain Text' mode if possible because most spam filters analyze if emails contain HTML code. (show how to do this)JOSH SAYS – You can see that Kimberli used the [URL] tag to insert the survey URL into her email. Since hyperlinks use HTML, when a respondent receives the invitation in Plain Text they would not be able to click on a link generated by using the [S] tag. As a best practice, we recommend using the URL tag in every invitation. Kimberli – If you don’t use either the S or URL tags, the system will automatically place these links at the bottom of your email!Josh says - While these email best practices will cut down on the number of undeliverable emails, if you notice that you’re still having problems there may be something else going on. Please feel free to contact WorldAPP Support for assistance with troubleshooting these issues.
The last “Best Practice” that we’ll be sharing today involves planning your survey project as a whole before you begin survey creation and launch your surveys. Occasionally, someone will come to Support with reporting problems that arose because the elements of the survey are not aligned with the type of reporting or analytics they are trying to produce.
JOSH SAYS – Not all question types are reported equally!Kimberli says – That’s correct. While exporting your results to Excel or SPSS can give you the power to analyze your data in any number of ways, if you’re planning to use WorldAPP’s reporting tools, there are a couple of things you should keep in mind. Rate along scale and 3D Matrix question types give you the flexibility with formatting on the survey side, but when it comes to reporting you lose the flexibility to filter on your answers, apply simple crosstabs, and create user-friendly PDF reports. JOSH SAYS – If you decide that you need to use Filters in your online report and you have these scale type questions in your survey, you can re-create them as “Pick one” questions and use the “Across” layout. Kimberli – If you would like a professional to review your data collection project and advise possible improvements, please contact your account manager for a quote on professional services!
Kimberli read the slideJosh under the hoodKimberli – Some of you may have noticed some slowdowns in the application recently, and I just want to acknowledge that. It doesn’t have anything to do with these changes in the upgrade, but is related to a custom reporting solution that we are working on. The issue has been identified and the solution is in progress. You’ll notice a significant improvement very soon.
Kimberli – read slideJosh – So if you are asking your respondents to type email addresses into the survey or autofilling email addresses, you can pull those addresses into the To fields of the email alert to customize who is receiving these alerts.
Kimberli – Read slideJosh – if you want to use those partially completed responses in a report, you can create a new report and on the rules page choose to show “In progress” responses in the report as well.
Kimberli – read slideJosh – Workgroup accounts for multiple users in an organization using the same accounts. If you’d like more information, please feel free to contact your account representative

We understand that sometimes your needs for custom reporting and advanced analytics capabilities may far exceed what worldapp has to offer. Rather than re-invent the wheel, WorldAPP partnered with QlikTech to offer our clients professional BI dashboards for your more advanced analytical needs. These QlikView reports can be developed to incorporate data from any or all surveys in your account and/or existing or legacy database information, and displayed in a Dashboard tab in your Key Survey or Extreme Form account, accessed via a separate URL with login and password security, or downloaded to a local computer for further customization. These dynamic BI dashboards allow you to immediately drill down on any information just by clicking on an item, such as a date range and/or region, in any table or a line on a graph, in any combination! And just as quickly and easily de-select the same items to go back to your summary data. For more information, please contact your WorldAPP business analyst.
JOSH - Remember that web poll we asked you to take? Why don’t we take a look at those results!Kimberli – Personally, our favorite apple is that 32 gig IPOD we’re giving away to one lucky participant of our “Favorite feature” contest! Josh – But don’t eat it…
WorldAPP will soon be launching it’s annual Customer Satisfaction Survey! Hopefully you know that WorldAPP is a customer-centric organization, and your feedback will help us evolve as a company and as a product to better meet your needs in the future. When you receive your invitation, please take a few moments to tell us what you think!
Now I will be addressing some of the questions that were entered into the GoToWebinar control panel on the right side of the screen. Remember, you can also post your questions and comments in the WorldAPP community by visiting community.worldapp.com, or contact WorldAPP Support for immediate assistance.
