• We believe in an analysis and assessment process before migrating applications to the cloud. Whether they be Lotus notes applications or other applications.
• 1. Reducing total cost of migrations
Governance Team will work to cut the cost of migration and the future maintenance of the environment by diligently seeking to reduce the number of Notes applications that are selected to be migrated.

2. Recommending the most appropriate long term solution and architecture
The Governance team will also define the most efficient path of migration for the remaining applications and architecture which will ultimately be moved to Office 365 and Azure in order to reduce the overall cost of migration.

3. Enhancing information security and reliability while reducing operational risk
Ensuring application stability and security are met after the migration by making sure that roles and responsibilities are defined during this process

4. Align new application designs with the company architecture governance plan
The Governance Team ensures that each of the new applications being created aligns with the architecture Governance approach for the enterprise .
• 9. Our Philosophy on Notes Migrations Quickly impact cost drivers to fund future activities (Reduce servers, align access & users to applications, reduce duplication) The pull of new systems reduces costs (Consolidate multiple Line of Business applications, align with existing app-dev plans, consolidate platforms to reduce enterprise licensing) Move essentials only (Archive, retire, consolidate, re-platform, and swap) Leverage tools to automate migration & get the most out of the future Application Platform (Office 365, Azure, etc.) (Leverage market tools to speed migration & use most “Out-of-the-box” functionality from SharePoint) Longer migration schedules are effective, cost efficient, and easier on the business (Drive efficiencies, optimized teams & refine processes, move at speed of change within the biz.) © 2010 WinWire Technologies
 • 10. Pre-Migration Analysis Applications © 2010 WinWire Technologies Functionality Archive Filter Which existing functionality is really needed? When is archiving just the content is good enough? Filter out what is unused or of low business value Identify Determine Classify applications as standard/simple vs. custom/complex Identify which applications share similar designs Determine target locations and application types/platforms (templates) Objective: • Reduce Migration where Possible • Minimize New Development
 • 11. Setup a Program Governance Committee Responsibilities of the Governance team © 2010 WinWire Technologies Reducing total cost of migrations Recommending the long term solution and architecture Enhancing information security and reliability while reducing operational risk Align new application designs with the company architecture governance plan Governance team divides databases to following groups based on Analysis of databases Retire Archive Replace Re-Platform Consolidate
 • 12. Analysis and Migration Process © 2010 WinWire Technologies Application Inventory •Obtain accurate inventory of the Lotus Notes databases and applications. •Leverage Industry tools to output to understand the complexity of the applications. Additional Analysis •Determine the impact of application migration by interacting with business users. •Identify additional data points like number of lists, forms, and workflows needed for migration. Migration Approach •Determine the best migration approach and target platform based on info gathered during initial analysis. (e.g., Archive, Retire, Replace, Re-platform, Consolidate). Present Estimate and Delivery Plan •Develop and present delivery plan and recommendation to Application Owner(BSD) for final decision. • 18. © 2010 WinWire Technologies Summary Many Approaches Brains over Brawn Only Essentials Each migration project is a unique animal. There are many approach, methods, tools, techniques and strategies. Apply them freely to achieve the best results. Many people look for a silver bullet to answer all the problems. We’ve found spending time thinking and planning will produce the best results. Only after the plan is well developed do you marshal corporate strength and the strength of partners. Get down to the bare essentials. We believe that if there is doubt, archive over migrate. Consolidate over duplicate. The smaller the profile of change, the lower the cost and the great the likelihood of success.
