SCT Workflow Services

  1. 1. SCT Workflow Services NOTES about our services: All services and facilitation of sessions are tailored to meet your needs. SunGard SCT will work with you in providing the services you need to make your workflow implementation successful. All of these services are highly recommended. Workflow is a toolkit that allows for the automation of business processes. It is critical for clients to be able to identify and define their business processes prior to starting workflow. . a. The times listed are the times for the basic sessions. These times do not include preparation, travel and follow up. b. The services listed here are the basics that we provide. SCT is very flexible in providing workflow services to meet the needs of the individual institution. c. As the session are hands-on we reRecommended manageable class sizes are a maximum of about 12of 10. We will provide multiple sessions if needed. d. SCT highly recommends at least one consultant visits. SCT has several different flavors of consulting services – “knowledge sharing” where your staff does the work with the support of SCT on site to impart knowledge. SCT will also work with you in an equal partnership if you desire or SCT will build your models for you with your support. e. A working environment is required on site for the technical and tools training. f. Sessions should be scheduled after clients have a good understanding of Banner. Clients do not have to be live, but should be through a good portion of training. Clients need to know their business processes prior to starting workflow. SCT Workflow recommended “basic bundle”: Each client installation is different. SCT will tailor workflow services to meet the needs of each client on an individual basis. The following is a recommended package to promote a successful workflow implementation: WF Services 1 of 5 4/30/2010 11:12 A4/P4 Version 1.0 9/18/2001

Visit 1 - SCT Workflow Tools (functional) Training 8. Visit 2 - Workflow Consulting combined with WPA Training Session (Note: Visit 2 is a combined visit with two SCT Consultants overlapping for approximately 2 days. If the client has not has BPA training, the client may opt for a 2 day BPA, 1day WPA session on siteRecommended if the client had not had Business Process Analysis (BPA)) List of SCT Workflow Services: PRE-CURSOR TO WORKFLOW Business Process Analysis Training (BPA) (on-site or Ed Center) The BPA is very good to use during an implementation or for high level review when business processes are being "reengineered". The goal of the Business Process Analysis is to ensure that your processes are adhering to best business practice. The BPA is extremely critical in that it ensures we have the "best" business practices in place and during the activity the BPA consultant can make an assessment whether the process should be workflow-enabled. Not all processes are likely candidates for workflow--in some cases it just does not make good business sense. Also, the BPA ensures that the business process is done in the most effective, efficient manner possible--by doing 50 to 70 percent of the analysis and groundwork up front the implementation of Workflow is faster and more efficient. The BPA is a natural segue into the WPA (Workflow Process Analysis, which adds the "nuts and bolts" to the process) and then the actual modeling and implementation of the workflow. SCT also provides BPA Consulting/Facilitation to help progress the analysis effort on site. Class time: 4 days Target Audience: Functional analysts and experts. The people that know the application and how that application is used including implications of other departments and business goals. 1. Workflow Planning Session (remote or on-site recommended) The objective of this session is to introduce the client to the workflow product. The session generally involved a presentation with a demonstration of the workflow product. The topics include product information, implementation strategies, resource considerations. The presentation also provides an incite into which how SCT clients are WF Services 2 of 5 4/30/2010 11:12 A4/P4 Version 1.0 9/18/2001
  3. 3. using workflow and how. Time permitting, walking through some client processes to get a better feel for implementing workflow. Approximate time. 8 hours Target Audience: Executives, decision makers, process owners, technical resources – all those that are interested in automating their business processes for the sake of productivity and efficiency 2. Workflow Pre-Installation Session (remote) This call is to ensure the client is technically prepared for workflow. Topics covered are hardware/software specs and remote logon information. Approximate time: 1 day for planning/installation/verification Target Audience: Networking/System/DBA’s that will be maintaining the system 3. Workflow Product Installation (remote) Product is installed remotely. Generally, an SCT employee would work with your staff to train them on the installation procedure. Approximate time: 33 days including planning/installation/verification Target Audience: System/DBA that will be maintaining the system 4. Workflow Server Administrative Training (remote) SCT Personnel to train your systems administrative resources on how to maintain the administrative server parts of workflow. Approximate time: 1 day Target Audience: System Admin, DBA, those involved in establishing and maintaining the workflow environment from a network/system perspective. 5. Workflow Tools Training (on-site) This is functional training of the workflow product. The class is targeted to both functional and technical people. The class includes exercises in building both a simple workflow and a more complex workflow using business rules. It provides a good general knowledge and understanding of workflow concepts for all that will be involved in the workflow analysis even if they are not going to actually be building the models. Class time: 3 days Target Audience: Functional as well as technical resources that will be using the tool to build workflows. This class is also suggested for those people that will be involved from the business process perspective to understand workflow concepts even if they do not plan to use the tool directly to build models. 6. Workflow Technical Training (remote or on-site) SCT personnel train your technical staff on how to administer the application side of the workflow product. Approximate time: 2 days WF Services 3 of 5 4/30/2010 11:12 A4/P4 Version 1.0 9/18/2001
  4. 4. Target Audience: Technical resources that will be supporting the product from an application perspective. These resources will be using the workflow tool to build workflows or support workflow analysts. 7. Workflow Technical Training (remote) SCT personnel train your technical staff on how to administer the application side of the workflow product. (Note: This training may be done on site) Approximate time: 2 days Target Audience: Technical resources that will be supporting the product from an application perspective. These resources will be using the workflow tool to build workflows or support workflow analysts. 8. Workflow Tools Training (on-site) This is functional training of the workflow product. The class is targeted to both analyst type people and possibly technical people. The class includes exercises in building both a simple workflow and a more complex workflow using business rules. It provides a good general knowledge and understanding of workflow concepts for all that will be involved in the workflow analysis even if they are not going to be building the models. Class time: 2 days Target Audience: Functional as well as technical resources that need to learn the workflow tool to build models. This class is also suggested for those people that will not be using the tool directly, but need to understand workflow concepts to work with the workflow modelers. 9. On-site Workflow consulting visits (on-site). This is the pPractical training which has proved to be very helpful and successful. The goal of these visits would be to impart the necessary knowledge your staff would need to become proficient in the analysis, development and deployment of workflows in their business environment. It is recommended that at least one on-site visit to work with the staff on the design and implementation of one “non-complex” workflow. This will ensure staff assigned to your Workflow project thoroughly understands the necessary steps to successfully implement the Workflow product. On-site time: 3 days Target Audience: Workflow modelers – those people that will be using the SCT Workflow tool. Support from the functional and technical resources may be needed as well. 10. Workflow Process Analysis Training (WPA) (on-site or Ed center) Workflow Process Analysis Training will provide your staff with the skills to take the resulting output from the BPA process and determine what workflows could be implemented to enhance a business process environment. The goal of the WPA trip would be to facilitate the training and analyze, in conjunction with the client’s staff, a business processes that would be workflow candidates. The client’s staff will learn the WF Services 4 of 5 4/30/2010 11:12 A4/P4 Version 1.0 9/18/2001
  5. 5. techniques for gathering information about a business process and ensuring the model that will be workflow-enabled represents best business practices. The output from the WPA session will be used as input to future workflow modeling activities. RECOMMENDATION: Although this course can be a session on it’s own, SCT highly recommends combining at least one session with a workflow consulting visit after workflow tools training. The WPA methodology is meant to bridge the BPA training and building the workflow models by gathering the right information. Knowing what information needs to be gathered from the WF training helps make this session more effective. This session is also offered as a stand alone session. The .prerequisite for the four-day session is the identification of four to five potential business processes that the client would like to have workflow-enabled. Class time: 3-4 days Target Audience: Application analysts and experts – both functional and technical. The people that know the application and how that application is used including implications of other departments and business goals. Technical expertise will be needed to support the workflow details of where the data resides and how to capture it for workflow. OPTIONAL SERVICES Workflow System Verification (remote service) This services is highly recommended for clients that chose to do their own workflow install. The session ensures that workflow has been installed correctly and that the workflow is working properly and “speaking “ to Banner. Approximate Time: 8 hours Target Audience: No real audience, support from System admin/DBA resources Custom Workflow Work Very often, clients would benefit greatly from implementing workflow but they do not have the time/resources to focus on workflow. SCT can help by building writing the necessary code to support the workflow, building the workflow or both! SCT would work with the client to determine the scope of work, specifications and estimates. This work would be on a client by client basis. The workflow services are flexible and can be altered to meet the client’s needs. WF Services 5 of 5 4/30/2010 11:12 A4/P4 Version 1.0 9/18/2001
