Microsoft donates a broad range of software to nonprofits and libraries through TechSoup, and we want to help you take advantage of these donations. But who has the time to be an expert?

We do! TechSoup Talks has organized this special webinar to sort through what types of software are available, as well as additional nonprofit resources offered through Microsoft’s donation program. We will also go over some benefits automatically included with all Microsoft software donations, including the ability to download donated software, the opportunity to upgrade for free to new versions of software as they come out, and access to free e-learning courses for Microsoft products.

Kami Griffiths will interview Sarah Hiller from Microsoft Community Affairs, who will help us understand the benefits available through their donation program and show us around the resources available in their Volume Licensing Service Center (VLSC). We will also hear from TechSoup’s Cameron Jones and Gregory Seeley, who will outline what Microsoft products are available through TechSoup and how to best find what you’re looking for.

  • TechSoup.org offers nonprofits a one-stop resource for technology needs by providing free information, resources, and support. In addition to online information and resources, we offer a product philanthropy service through which nonprofits can access donated and discounted technology products, generously provided by corporate and nonprofit technology partners.
  • TechSoup Global currently operates its product donation programs with partners in 32 countries. With the number of supporting corporations currently at 37 (offering 392 different donated or discounted products) TechSoup Global has provided approximately 4.9 million donated technology products since program inception to NGOs around the world. The retail price of these donations is roughly equivalent to US$1.4 billion.

  • Tech Soup has done a marvelous job at providing a guide to the Microsoft VLSC site and it’s offerings. You can find it at the website link noted on this page. There are quick links to topic areas in the menu to the right (circled in green).
  • From the donation email an NGO is directed to the VLSC home page to sign in. Image on left. The sign in button is outlined by a green box, and should an NGO need help signing-in, the local VLSC support desk can be found by clicking on the Contact Us link at the bottom of the screen – outlined by a blue box. Once signed in and considered a registered user, the NGO will see something like the screenshot on the right.
  • From the VLSC home page one is able to: Manage entitlements for all of your vl agreements Simple navitation Access vl agreements Download sw Find product keys Review site permissions

  • Link to other licensing resources
  • View alerts about important licensing updates in the Notifications section.
  • And see notices about new products or services.
  • Microsoft sw donations through TechSoup are volume license software items. This means a few things, but in terms of how the sw is received it means that the NGO will receive most if not all communication about their donation via email. There are 2 parts to a volume license software item, the licenses and the media (discs).
  • The NGO will receive 3 communications via email about their donation. From TechSoup: Congratulations and what to expect next. From Microsoft VLSC: Indication that agreement is available for NGO to accept with brief log in info to VLSC site. From TechSoup: Details about how to accept and activate your agreement and obtain your license keys. Lists software granted, info about other benefits your donation includes, and legal addendums
  • In terms of media there are 2 options: If media was requested during the ordering process on the TechSoup site then a physical shipment of media will be sent to the NGO. This could take from 4-6 weeks. Another option we strongly encourage is to simply download the media from the VLSC site.
  • There is a lot of great info about the download option and how to do it on the VLSC site. From the Homepage go to FAQs then Downloads FAQ.
  • Besides the packaging and installation process: With VL: Granted x number of licenses, but use the same license key for all One set of media for each title With Retail: Have a unique license for a single install
  • The other major difference is that Microsoft volume license software donated through TechSoup includes Software Assurance benefits. These are wonderful benefits that are good to be aware of and if used can help increase worker productivity, accelerate organizational performance, and realize a return on software investment faster.   • Read benefits of upgrades/downgrades. For upgrades/downgrades media is required (except for CALs). Media can be obtained: For free via a download process from the VLSC site. For a cost of about $25 by ordering on the VLSC site or calling your local fulfillment center which can also be found on the VLSC site.
  • I would like to highlight the ease of downloading media. From the VLSC site, go to Downloads > Licenses Downloads. What shows are items available to you to download; items that you have licenses for. There are instructions on how to download in the Help area of VLSC. They can then download the media needed and burn it to a CD. That CD can them be used to install the software onto multiple machines (up to the number of licenses granted). Pros: Immediate / no need to wait 4-6 weeks for a disk kit to be delivered. Just need to do one download.   • It might be helpful first to simply explain what a Volume License Key is. Volume License Keys are also knows as Product Keys. Microsoft includes product activation technology in some Volume Licensing products.   • Back to the question of if a VLK is need for every item. The answer is NO. The way to determine this is by clicking into the Product Keys area of the Help tab in VLSC. Q: Are Product Keys required for all Volume Licensing products? > directed to this site.
  • When you click into the 2 nd question “Are Product Keys required for all Volume Licensing products?” you are given a link to another site to figure it out.
  • Here’s what the site looks like. To determine if an items needs a vlk, you can either search for a product or browse categories. I have found it easier to find information by browsing categories because the search for products text box requires very specific exact names. Let’s look at a few examples of browsing the categories.
  • Example of browsing applications for Microsoft Office items. VLKs for all of the items listed can be found under the area called “How do I get my key?” In this case the vlks can be found on the VLSC site or by called the Microsoft Activation Center.
  • Screenshot of viewing VLKs in VLSC: I have put dummy numbers into this screenshot, but this is an example of what it would look like when VLKs can be found in VLSC. Please note that various versions of an item may be listed, but they should use the vlk next to the item for they are using the media to install.
  • Example of browsing servers for Microsoft Office SharePoint Servers. Again, VLKs for these items can be found under the area called “How do I get my key?” In this case there are several ways to obtain the vlks… 1 – on the media sleeve 2 – from the download fulfillment area (when you are downloading) 3 – by called the Microsoft Activation Center.
  • Example of browsing systems for the operating system Windows 7. Again, VLKs for these items can be found under the area called “How do I get my key?” In this case from the VLSC site or by calling a Microsoft Activation Center. When installing an operating system there are two types of keys that can be used. Key Management Service (KMS) key Multiple Activation Key (MAK) key There is a lot of wonderful information that can be found about the difference between KMS and MAK keys on the Product Key FAQ.

  • Licenses are perpetual (they do not expire). It is the software assurance benefits that expires after 2 years. Software Assurance cannot be renewed or purchased. SA benefits start when licenses are issued (granted). Email received 3 months before SA benefits expire.   • 28. Volume License vs. Retail Software When bought at a retail outlet: When received as a donation via TechSoup: Same key used for number of licenses granted One set of media for each title, to be used multiple times for installation + Unique license for a single install vs.
  • 29. Software Assurance (SA) Benefits These benefits are good for 2 years and include:

    • Free upgrade to any new version of your licensed products that Microsoft releases during the two years your Software Assurance is in effect. Can obtain media for the upgrade/downgrade via download or mail.
    • The actual upgrade does not have to take place within the two year period.
    • Licenses remain valid, and the organization can continue to use the product after SA benefits expire.
    • Client Access Licenses (CALs) are also usable on the upgraded product. No media required.
    • Downgrading to previous versions of an item is available as well.

    • To obtain the Office Multi-Language Pack, you must have a license for an Office suite , not just an individual Office product.
    • Office Multi-Language Packs are add-in products that can display the user interface of the Office desktop applications — windows, tabs, help, and so on.
    • In 37 different languages.
    • Availability of proofing tools makes it possible to check spelling, grammar, and so on in documents created in these languages.

    • Any employee who has a Microsoft Office suite on their work computer can get a copy of the current versions of Office Professional or Office for Mac for home/personal use for a small fee.
    • The Office software can be used only while the user continues to be employed and while the Software Assurance for the Office suite remains active.

    • Designed for maximum skills transfer in minimal time.
    • A course must start before SA expires and be completed within one year.
    • Courses are grouped into three categories: applications (desktop applications), systems (operating systems), and servers.
    • Availability of courses depends on the number and type of products with active SA benefits.

    • If your organization has a server product with active Software Assurance, you have the right to use Volume License media to install the same software on a "cold" server (one that is turned off until an emergency situation). In a disaster, this server can be moved into production so that users can continue to access critical data and applications.
    • You have one disaster recovery license for each server license with active Software Assurance.
    • After Software Assurance expires, you can continue to use cold backup software already installed, but you cannot install any additional cold backups.
