  • 4. NABE Communications Section Workshop Sponsorship Policy Sponsorships will be the primary source of fundraising for the annual workshop. All sponsors must sign a sponsorship agreement with the cost and benefits clearly outlined. All funds, services or property solicited by the Section will become the property of the section and will be subject to oversight and control of the Executive Council. All such funds will be recognized and accounted for in the financial records of the Section. Sponsorship payments must be made payable to NABE Communications Section and mailed to NABE, 321 North Clark Street, 20th Floor, Chicago, IL 60654. Currently, sponsorships are divided by dollar amount into four levels: Platinum, $5,000; Gold, between $2,500 and $4,999; silver, between $1,000 and $2,499; and bronze, up to $999. Platinum sponsors will be designated as the sponsor of a key event or segment of the program that all workshop registrants will attend (special events, meal functions, plenary sessions etc.), will receive a prime location for their booth and double the space (two table tops) if desired, and a full page in the on-site program or a flyer insert (to be produced/camera ready by the sponsor and printed by the sponsor if an insert). Platinum and Gold sponsors are provided with an opportunity, scheduled by the workshop planners, to speak to workshop participants for 2-3 minutes in a plenary session or during a sponsored event or meal function. Platinum, Gold and Silver level sponsors are provided with an exhibitor table in the area designated by the workshop planners. All sponsors at all levels will be listed in the workshop program and when possible in promotional materials for the workshop. All sponsors may request a list of meeting registrant’s contact information including email addresses to be provided before or at the meeting. Additional benefits, such as workshop attendance, free or discounted tickets to meal functions and events, and provision of door prizes for drawings may be offered to sponsors by the workshop planners and will be outlined in the sponsorship agreement. The section must keep the NABE Sponsorship Committee informed of all fundraising activities to avoid potential conflicts. Corporate representatives/sponsors may be asked to be program speakers when it is determined their expertise will lend value to the educational experience. However, speaking during the program must not be a condition or benefit of the sponsorship. Sponsor representatives who are asked to speak will be prohibited from “selling” their products from the podium but will be permitted to distribute product information in the written materials for the session at which they are speaking. In-kind donations must not exceed $999 and will be listed in the program as such with a brief description and basic contact information limited to business name and city/state location, representative name, telephone number, email address and Web site URL. No sponsorship benefits – including an exhibit table -- will be provided. This policy also applies to NABE members who have commercial products to sell. March 2009
