POSITION TITLE: PROJECT COORDINATOR (6 – 12 MONTH CONTRACT) REPORTS TO: Group Director, Drugs/Labs/Innovation & Adoption LOCATION: Vancouver Canada Health Infoway (“Infoway”) is an independent not-for-profit corporation with offices in Montreal, Toronto, Vancouver, and Halifax. Its members are the federal, provincial and territorial Deputy Ministers of Health and their associated ministries. Infoway is a “Strategic Investor” in electronic health information system projects. Working with our sponsors, we assess needs, identify requirements and provide funding, methodologies, tools and proven practices (where available) to ensure successful outcomes. We do not directly manage projects or conduct project activities. Once a project has been defined and approved by the Infoway Board, we monitor project activities to protect our investment and collect reusable knowledge to support subsequent projects. THE MANDATE: Working directly with our Western Canada Program Director, Project Director, Project Manager and Alliance Executive, the position will require the Project Coordinator to provide support to Infoway’s Laboratory, Drugs, Innovation & Adoption and Standards projects. The Project Coordinator role is a contract role for 6 months, with the option to renew for an additional 6 months. The position is to be based in the Vancouver Office. SPECIFIC ACCOUNTABILITIES: • Prepare and co-ordinate reports and presentations as requested by Group Director, Project Director, Project Managers or Alliance Executive. Support envelope management by responding to Program Directors OMC, or BOD requests for clarification or adjustment. Prepare presentations required by PM's for sponsor meetings or to provide updates on program or national activities. • Assist Group Director and Project Managers with the preparation of materials to go to Operations Management Committee (OMC), Finance & Investment Committee of the Board and the Board. This is to include preparation of OMC presentations, budget spreadsheets, Change Requests, and responding to PMO for clarification, backup, including assembly of binder of OMC backup material. • Reference contact for projects with the Finance team or applicable Program Coordinator for items such as time allocation, accruals, travel expense charges, etc. • Reference contact for projects with PMO team for project management activities, reporting and coordination. • Assist Group Director and Project Managers with the documentation of their detailed planning requirements. • Track project deliverable approvals and update relevant documentation. • Management of Western Canadian Infoway Project Dashboard, including tracking of financial, resourcing, milestone and project-related information. • Assist Project Managers with maintaining project timelines and schedules. • Assist Project Managers with the management and logistics of their projects through reports. communication and other co-ordination activities. • Liaise with and respond directly to sponsor requests for information, including supporting the sponsor on key admin tasks such as invoicing, and project agreement assembly, etc.

SPECIFIC REQUIREMENTS: • Business Administration, IM/IT management or Health Information Systems education, preferably to the diploma or degree level. • Exposure/Knowledge of project management techniques. • 2-5 years experience, working in a project oriented environment in Information Technology, preferably within Health Care. • Good communication skills to enable presentation of ideas, processes and frameworks – particularly in written form – to internal stakeholders. • Planning and organizational skills to manage multiple priorities simultaneously. • Experience in financial analysis and tracking against budget. • Negotiation and problem solving skills to resolve conflicting priorities and ensure successful delivery of project deliverables. • Detail-oriented with the ability to ensure accuracy in spelling, grammar and punctuation. • Excellent interpersonal skills to work with colleagues and external stakeholders. • Highly proficient in all aspects of the Microsoft Office suite. • Experience in the final preparation and publication of complex specification deliverables. • Experience in co-ordination of multi-day events or meetings. • Facilitation of diverse stakeholder groups. • Project Management Training or equivalent or PMP certification is an asset. Requirements include: • University/college degree in Computer Science, Business, Commerce or Marketing with a minimum of 4 years related experience in product management, business development, project management or client management. • Must be able to lead project teams, work in cross-functional teams and work independently. Requires ability to simultaneously work on a multiple tasks with varying deadlines. • Must be proficient with personal computers and related software applications, Microsoft Office Suite and Microsoft Project preferred. • Must demonstrate previous success with implementation of medium to large-scale projects. Key Attributes: Exceptional research, analysis and assessment capability to determine feasibility and impact of proposed business models and strategies. Strong knowledge of project and product management principles. E-commerce and/or enabling Internet technology experience · Well developed presentation skills, highly developed writing skills and strong influencing skills.
