  3. 3. INTRODUCTION This document lists resources to help faculty and staff of the George Washington University Medical Center work from home or off campus. These are general guidelines that should work on most systems provided that they are functioning computers with a high speed (DSL, FIOS, Cable, etc) connection available. Due to limitations, CASS can only provided limited support of these applications.   5. 5. SECTION II Part A KEEPING YOUR PC UPDATED
  6. 6. KEEPING YOUR PC UPDATED WINDOWS UPDATES 1) Windows XP and Windows Vista If you are running windows XP or Vista as your operating system please go to the following website to get updates http://update.microsoft.com Click on Express to get the critical updates
  7. 7. Click on review and install updates and then on the install updates to update the computer. Windows should be updated frequently to protect the pc from any vulnerabilities in the operating system. Microsoft usually releases new updates on the second Tuesday of every month.
  8. 8. KEEPING YOUR PC UPDATED ANTIVIRUS SOFTWARE You should have some kind of antivirus software on your system. Many computers come with subscription software. However since you are affiliated with George Washington University, you can download a copy of the Symantec Antivirus/Firewall software . This copy of the antivirus software can be kept on your pc as long as you are affiliated with the university. If you already have some antivirus software you can continue to use it. It is not mandatory that you have the same antivirus as the university. However, if you are upgrading to this software, please make sure you have uninstalled any antivirus and firewall software currently installed on your pc. Below is an example of an uninstall of McAfee security software. However different antivirus programs will have different screens. Do not delete folders from the C:program files folder as this does not mean the program is uninstalled. Example : Uninstallation of Mcaffee software on windows xp/vista 1) Click on the start and then click on the control panel as shown below:
  9. 9. 2) Click on Add or Remove Programs, 3) Scroll down to the antivirus program or firewall software you want to install and select remove, in this case it is McAffee SecurityCenter
  10. 10. The following are screens seen as the uninstall process goes. Click Remove Click Remove
  11. 11. Once the uninstallation is complete it will ask to restart the computer. Please restart the computer before anything else is installed. See next page for the guide to install Symantec Antivirus + Firewall software on your pc.
  12. 12. Guide to install the Symantec antivirus software provided by the George Washington University 1) Go to the following website http://helpdesk.gwu.edu/software/download.html 2) Click on the Symantec AV + Firewall link as shown below under the Windows column:
  13. 13. 3) Read and Agree to the software agreement and click continue, you are agreeing to using this software on your pc as long as you are with the university. 4) The next screen will ask you for your NetID and password. This will verify you are with the University and lead you to the page where you can download software.
  14. 14. 5) Click on the download button for the software you want. Choose the correct one for the operating system you have on your pc. In this example , we are doing the install for Windows XP 6) When you click on the link for the download, click save
  15. 15. 7) Save the file to your desktop 8) Screen showing file is downloading 9) Once download is completed, Click on Run
  16. 16. 10) Click on Run 11) Click on Next when the welcome screen comes up 12) Screen showing extracting of files
  17. 17. 13) Click Next to continue 14) Read and Accept the Licence Agreement and then click Next to Continue 15) Make sure Client Install is selected and click Next to Continue
  18. 18. 16) Make sure Complete is selected and click Next to continue 17) Make sure Unmanaged is selected and click Next to continue 18) Click Next to Continue
  19. 19. 19) Click Install to begin the installation of the software 20) Installation Progress screen 21) Click Finish when the installation is complete
  20. 20. 22) The installer will ask you to reboot your computer. Click Yes to reboot 23) When your computer comes back up you will see the following message. Click OK to continue 24) Run Live update to update your virus definitions. Click on Start, All Programs, then on Symantec Client Security and then finally on Symantec Antivirus. This will load the software click on LiveUpdate and you will see the following screen. Click Next to continue and get the updates for your computer

SOFTWARE UPDATES To get updates for Macintosh computers , Click on the apple on the top left of the computer and select software update If it finds any updates they will show up in the window. Click install to begin the process as shown below The next window will prompt you for a username and password. Enter your username and password that you use to install software on your macintosh and then click ok.
  23. 23. Once the software update is complete it will ask you to restart your Macintosh. Once you are done rebooting you Macintosh is up to date. Check frequently for updates.

  26. 26. Accessing your groupwise email from home: Requirements: A: To access the system you must use your Novell groupwise account (Novell username) and password. Your username is your e-mail address without "@gwumc.edu", and your password is the same the password you use when you check your email at work using the groupwise client. B: Browsers supported: IE, Firefox, and Safari 1) Open your web browser and go to the following website https://gwise.gwu.edu/ 2) Enter your login and password and click on Login. 3) You now have access to your email *** Groupwise Archives cannot be accessed through web access.

  28. 28. Accessing your GWU (colonial) email from home: Requirements: A: To access the system you must have a colonial mail account and password. Your username is your e-mail address without "@gwu.edu". B: Browsers supported: IE, Firefox, and Safari 1) Open your web browser and go to the following website https://cmail.gwu.edu/ 2) Enter your username and password and click on Login. 3) You now have access to your colonial email

  30. 30. SECTION III B Part i: SETTING UP NETDRIVE For users with Windows XP
  31. 31. Setting up Net Drive Requirements: A: To access the system you must use your Novell account (Novell username) and password., and your password is the same the password you use when you login to a pc with the Novell client at work. B: Operating System supported: Windows XP 1) You must first download the software for webdev (netdrive). Visit the following link to download the software http://helpdesk.gwu.edu/software/download.html Click on the WebDav Client as shown below:
  32. 32. 2) You will get a screen to prompting you what to do. Click on Save to save the program file. As shown below: 3) Save the file to you desktop as shown below: 4) The file will now download to your desktop
  33. 33. 5) Once the download is complete. Click on Run as shown below 6) You probably will get a screen asking the following: Click Run to Continue. 7) See the following diagrams to install the software. Click OK to Continue
  34. 34. 8) Click Next to Continue 9) Click Yes to Accept the Software License Agreement
  35. 35. 10) Click Next to Contine 11) Once the installation is complete, a window will open up with the shortcut for NetDrive in it as shown bellow: Double Click on the Netdrive Shortcut to launch the program 12) You will see the following screen:
  36. 36. Click on New Site to Continue 13) The following screen will be seen: Enter the information shown as above. Under the name, enter a name of your choosing. I have called it GWUMC here, but you can put anything. Then enter the site address that needs to be entered EXACTLY AS FOLLOWS: https://netstorage.gwumc.edu/oneNet/NetStorage Please note that the site address is case sensitive and must be entered exactly as above.
  37. 37. 14) Once the information is entered, Click Finish to Continue as shown below: 15) It will bring up the following screen:
  38. 38. 16) Uncheck the Anonymous/Public Login box and the save password box shown below: 17) Then click on connect as shown below:
  39. 39. 18) It will bring up the following screen: Enter you Novell username and password. Make sure you use your novell account password and not your groupwise email password. Then click on OK 19) A window will open up that will show you your drives as seen below: You now have access to all your network shared drives

  45. 45. SECTION III Part B III: Accessing Your shared drives through a Web browser

Accessing the drives through a web browser Requirements: A: To access the system you must use your Novell account (Novell username) and password. and your password is the same the password you use when you login to a pc with the Novell client at work. B: Browsers Supported: IE, Mozilla, Safari 1) Open your web browser. Go to the following website: https://netstorage.gwumc.edu/NetStorage You might see the following screen: Click Continue to this website to move forward.
  47. 47. 2) A window will come up to prompt you for a username and password. Enter you Novell username and password. Make sure you use your novell account password and not your groupwise email password. Then click on OK 3) You will now see a list of folders that are your shared drives. You now have access to your network drives. Just double click on the folder you want files from.
  48. 48. 4) Note if you use to access the shared files this way you will have to download your files to your pc and then work on them and then upload them back to the server. To download or upload click on file as shown below. Then Either Download or Upload and browse to the file you want to download or upload.

  50. 50. Accessing Blackboard Requirements: A: To access the system you must use your NetID (GW mail username) and password. Your username is your e-mail address without "@gwu.edu", and your password is the same as your Colonial Mail password B: Browsers supported: IE, Firefox, and Safari 1) Open your web browser and go to the following website http://blackboard.gwu.edu 2) Enter your username and password and click on Login. 3) You now have access to blackboard.

  53. 53.   VPN for the PC Connecting to the George Washington University Virtual Private Network (VPN) Requirements: A: To access the system you must use your NetID (GW mail username) and password. Your username is your e-mail address without "@gwu.edu", and your password is the same as your Colonial Mail password B: Browsers supported: IE C: The preferred way to connect to the George Washington University Virtual Private Network using either the Internet Explorer or Safari web browser is located at http://vpn.gwu.edu. D: Once you have successfully connected to the VPN, other browsers such as Firefox can be used. E: Connecting to the VPN is required for any faculty or staff in order for them to have to access to oracle or banner. F: Once you have gone through the process of setting up the vpn once all you will have to do is logon to the vpn using your NetID and password G: You must have administrative privileges to get the vpn access setup. 1) Open the Internet Explorer web browser and go to the following website: http://vpn.gwu.edu
  54. 54. 2) You will get the following security message:   Click OK to Continue 3) Next you will see a yellow bar below the address bar. Right click on it and click on the Install ActiveX control as shown below:            
  55. 55. 4) Click Install to continue:     5) You will a window showing the applications installation as shown below:    
  56. 56. 6) Once completed you will have a logon screen in front of you. Please enter your NetID and Password and click sign in as shown below. Your username is your gwu e-mail address without the "@gwu.edu", and your password is the same as your Colonial Mail password      7) Again you will see a window showing the launch of the vpn connection as shown below:  
  57. 57. 8) Once you are connected, you will see the screen below   You are now connected to the vpn. You can close the above browser and continue. If you look in the bottom right of your computer screen you will see a lock as shown below. This is showing that you are logged in to the vpn.    VPN FOR Macintosh OS X Connecting to the George Washington University Virtual Private Network (VPN) Requirements: A: To access the system you must use your NetID (GW mail username) and password. Your username is your e-mail address without "@gwu.edu", and your password is the same as your Colonial Mail password B: Browsers supported: Safari C: The preferred way to connect to the George Washington University Virtual Private Network using either the Internet Explorer or Safari web browser is located at http://vpn.gwu.edu.
  58. 58. D: Once you have successfully connected to the VPN, other browsers such as Firefox can be used. F: Once you have gone through the process of setting up the vpn once all you will have to do is logon to the vpn using your NetID and password G: You must have administrative privileges to get the vpn access setup. 1) Open the Safari web browser and go to the following website: http://vpn.gwu.edu  2) You will see the following security message, Click Yes to continue
  59. 59. 3) You will see the following loading components screen 4) You will next see the screen for you to enter you netId and Password. Enter them and click Logon.
  60. 60. 5) The next screen will show you it launching Network Connect 6) It will then prompt you for your username and password. This is the username you use to install software on your macintosh not your gwu Net ID.
  61. 61. 7) The next few screens are just shots of the software installing for vpn access
  62. 62. 8) You will see the following screen when you are connected. You can now close this window and open any other browser if you would like. You are now connect to the university through the VPN. The screen belows shows you are connect to the VPN
  63. 63. SECTION IV Part B ACCESS TO ORACLE
  64. 64. Requirements: A: To access the system you must use your NetID (GW mail username) and password. Your username is your e-mail address without "@gwu.edu", and your password is the same as your Colonial Mail password B: Must have an account with oracle. C: Operating System supported: Windows XP D: Browser supported: IE explorer 6.0 only E: Other software required: Oracle JInitiator for EAS and Banner 1.3.1.26 for Windows XP F: Must be connected to the VPN in order to gain access. G: Application only available from 7:00 AM to 8:00 PM daily H: You must have “Administrator” privileges to access and install the JInitiator for oracle access. 1) Open Internet Explorer and go to the following website: http://vpn.gwu.edu and Login to the VPN. If this is the first time trying to login to the vpn see the previous section for instructions. 2) Once connected to the VPN, You have to make sure you have the Oracle JInitiator for EAS 1.3.1.26 installed. To install this software package go to the following website: http://helpdesk.gwu.edu/software/download.html Scroll down to where it lists Oracle JInitiator and click the download link as shown below:
  65. 65. 3) It will then come up with a screen for you to enter your NetID and password as shown below: Enter your NetID and password and click Login
  66. 66. 4) You will see a list of software available for download. Scroll down to the Oracle JInitiator for EAS and Banner 1.3.26 for Windows XP and the click on the Download oajinit.exe link to download the software. 5) Click on Save when the next windows comes up as shown below
  67. 67. 6) Save the file to the desktop: 7) Once downloaded. Click on Run to begin the installation
  68. 68. 8) You will then see the following screen. Click on Run to continue 9) You will see the extracting windows screen once you click on Run 10) Once the files are extracted, the see the Oracle JIinitiator Setup wizard start to load:
  69. 69. 11) Click Next to continue 12) Click OK to complete the organization The installation of JIinitiator is complete. Close any open Internet Explorer web browser. 13) The installation of the JInitiator must be done only once. After installing the software package you can start to access oracle after connecting to the VPN. To access Oracle. Open up Internet Explorer and go to the following website https://eas.gwu.edu
  70. 70. 14) Enter your NetID and password and click on Logon 15) Once you are logged in. Click on System Access on the top left tab as shown below
  71. 71. 16) On the next screen, Click Connect to launch the Oracle Application as shown below: 17) You will now get the screen to login into oracle:
  72. 72. Enter your Oracle Username and Password and click on Login 18) On the “Main Menu” tab of the web page that comes up after connecting, select a responsibility. In this example, we choose the “GW GL Entry” responsibility. As shown below 19) You should see a window saying the Loading the Java Applet as seen below:
  73. 73. 20) You will then see a JInitiator Security Warning: Select “Grant Always” so you do not see this window the next time you log in. You will now be taken to the Oracle Applications navigator and able to access the application:
  74. 74. SECTION IV C ACCESS TO Banner
  75. 75. Requirements: A: Must have an account with banner. B: Browser supported: IE explorer 6.0 only C: Other software required: Oracle JInitiator for EAS and Banner 1.3.1.26 for Windows XP D: Must be connected to the VPN in order to gain access. 1) Open Internet Explorer and go to the following website: http://vpn.gwu.edu and Login to the VPN. If this is the first time trying to login to the vpn see the previous section for instructions. 2) Once connected to the VPN, You have to make sure you have the Oracle JInitiator for EAS 1.3.1.26 installed. To install this software package go to the following website: If you have already installed this software, you can skip to step 13 http://helpdesk.gwu.edu/software/download.html Scroll down to where it lists Oracle JInitiator and click the download link as shown below:
  76. 76. 3) It will then come up with a screen for you to enter your NetID and password as shown below: Enter your NetID and password and click Login
  77. 77. 4) You will see a list of software available for download. Scroll down to the Oracle JInitiator for EAS and Banner 1.3.26 for Windows XP and the click on the Download oajinit.exe link to download the software. 5) Click on Save when the next windows comes up as shown below
  78. 78. 6) Save the file to the desktop: 7) Once downloaded. Click on Run to begin the installation
  79. 79. 8) You will then see the following screen. Click on Run to continue 9) You will see the extracting windows screen once you click on Run 10) Once the files are extracted, the see the Oracle JIinitiator Setup wizard start to load:
  80. 80. 11) Click Next to continue 12) Click OK to complete the organization The installation of JIinitiator is complete. Close any open Internet Explorer web browser. 13) To Access Banner, Open up Internet Explorer and go to the following site: https://inb.gwu.edu
  81. 81. Click on “Enter Banner PROD (Banner Production) to launch the banner application 14) You will see another window open up showing that the java applet is loading
  82. 82. 15) The login screen for banner will be the next screen you see as seen below: Enter your banner username and password and click on connect. Once logged in you have access to banner applications. For further assistance or questions go to the following website that provides info on using banner: http://www.gwu.edu/~banner/services/banner.htm

  84. 84. Part A Library Resources via VPN REQUIREMENTS A: To access the system you must use your NetID (GW mail username) and password. Your username is your e-mail address without "@gwu.edu", and your password is the same as your Colonial Mail password B: Browsers supported : IE, Firefox, Safari 1) To access library resources such as databases, e-texts, and e-journals without any additional logins you need to first login to the VPN. 2) Open any your web browser and go to the following website: http://vpn.gwu.edu and Login to the VPN. If this is the first time trying to login to the vpn see the vpn section of this guide for instructions. 3) Once you are connected, go to the following website: http://www.gwumc.edu/library/ You can now access all the library resources.

Part B Library Resources via Aladin REQUIREMENTS: A: GWID (g#) 1) Open up your web browser and go to the library’s website: http://www.gwumc.edu/library/ 2) Select the database, e-text, or e-journal which you would like to access 3) When the ALADIN login screen is displayed, securely login with your last name and GWid (G#). 4) The database or e-text that you selected should display automatically
