  • The goal of the travel redesign project is to make travel choices easy for faculty and staff. In the past we have not offered our travelers a single source of travel related information and that is the purpose of the portal. We wanted to offer our travelers more choices . We wanted to offer our travelers more information on how to obtain greater savings. If we make it easier for our travelers – we should see greater adoption and utilization of our preferred suppliers.
  • The Travel web site is a vehicle we created to make information about travel preferred suppliers more accessible to the Penn community. Let’s look at the Front page News You can Use – timely information that our travelers need to know Current Promotions – feature any promotions our preferred suppliers are offering – advertising venue for them Goal of portal – information / convenience / savings Front door to Travel Portal
  • You are now inside the Travel Portal. With the Travel Portal we are focusing on both inbound and outbound travel.
  • Outbound Travel The bulk of the Travel Portal is designed for our travelers traveling from Penn to points beyond
  • One of our goals was to increase the number of preferred agencies to three In order to increase compliance we felt we needed to give Penn travelers more choices Marathon Travel - Princeton, NYU, Drexel, Temple, affiliated with E&I Cooperative Premier Travel (bullet points) All three are supported by and have access to an airline billing account
  • Collegiate reciprocity Any one working with Campus Travel Management can take advantage of hotel rates they have negotiated in their own back yard.
  • All these airlines give Penn negotiated discounts In order to take advantage of these discounts Penn travelers have to book through the Penn preferred agencies or the on-line booking products. Our discounts are predicated on market share The more we book –the greater discounts we can negotiate We have also listed the low cost carriers.
  • This is a sample airline page Explains that there are discounts available but if Area where you can click on to see the discounts If you want to make an airline reservation, it loops you back to one of the preferred agencies or the online booking products.
  • If you click on the button that says savings, you come to a Penn authentication page and then this information. The message her e is that – if your travelers who book midrange or full fare tickets are not using one of the preferred agencies or one of the on-line booking products then you are leaving money on the table. Granted the highest fares have the highest savings.
  • We are introducing two on-line booking products One is supported by Amex One is supported by Marathon Both have our negotiated discounts loaded and both provide our community an option if they don’t want to use a preferred agency because of the booking fees but want to take advantage of Penn’s negotiated discounts Can make their own reservations on-line Currently, we don’t have the Travel Authorization central bill workflow built into the online booking products but we hope to have that at some point.
  • We have expanded hotel savings on the Travel Portal Starwood hotel discount program is listed here Club Quarters Choice hotels Collegiate reciprocity

  • Inbound Travel
  • We also address inbound travel on our web site We have Penn’s two properties prominently displayed but we also have 30 hotels participating on this web site. All these hotels have provided Penn with special pricing. Please – if you have any inbound visitors, link to this page from your websites to facilitate visitors making reservations and taking advantage of discounts negotiated on their behalf.
  • We have been working with the Inn at Penn and the Sheraton to create a special booking page for Penn departments. Once you enter your Penn ID and password you can make the reservations for your visitor(s) and use your purchasing card. No more paper forms with 26 digit account numbers.
  • We also address inbound travel on our web site We have Penn’s two properties prominently displayed but we also have 29 hotels participating on this web site. All these hotels have provided Penn with special pricing. Please – if you have any inbound visitors, link to this page from your websites to facilitate visitors making reservations and taking advantage of discounts negotiated on their behalf.
  • Another goal is to provide the schools and centers with their own quarterly reports. How much they spent on air travel, where they went and if they achieved any savings as a result of using a preferred supplier. Of course we can only see data from one of the preferred agencies or online booking products.
  • Another initiative is a program called Penn Global Network. PGN is a way for Penn faculty, staff and students to share information about international travel for other Penn travelers. We want to create a fun, interactive way for Penn travelers to create information about all the destinations in which Penn operates program and/or travels to help travelers who may not have been to these destinations.
  • Spread the word Use your email listserves I am available for presentations to your business administrators or travelers.
