  • 4. 3 Digital Answers How to convert .pptx to text file using Office 2013 PowerPoint 2013 can be used to convert .pptx file to .txt file. This is quite useful when you want to send out content from PowerPoint file to contacts without having PowerPoint installed on their system. Step 1: Open the .pptx file in PowerPoint 2013. Step 2: Click File menu and select Save as from the menu option. Step 3: Select Outline/RTF(*.rtf) in Save as type drop down. Step 4: Now open the .rtf file in Microsoft Word 2013 then click File menu and select Save As.
  • 5. 4 Digital Answers Step 5: Choose the Save as type as Plain Text (*.txt) Export presentation handout notes to Word 2013 PowerPoint 2013 users can use the export feature to create handout notes for their presentation in Word 2013. This is quite useful when you want to quickly take print out of your presentation notes for all your audience. Step 1: Open the presentation in PowerPoint 2013, click File menu and select Export option from the menu list. Step 2: Click Create Handouts under Create Handouts in Microsoft Word (Export Screen)

This should launch a new word document with content from PowerPoint Presentation. How to increase the maximum number of undo in Microsoft PowerPoint 2010 In Microsoft PowerPoint 2010, the default value for the maximum number of undos is set to 20. There might be circumstances where you would like to revert more than 20 changes and in this case you can increase the maximum number of undos in PowerPoint using Options screen.  Click on File menu and select options  Navigate to Advanced Screen
  • 8. 7 Digital Answers  Under Editing options, there is a field for specifying the Maximum number of undos. By this way you can increase or decrease the number of undos in PowerPoint. How to make a PowerPoint in Office 2010 read-only PowerPoint in Office 2010 can be made read-only by using the PowerPoint Info menu features. This would prevent other users from editing and making changes to the PPT slides.  Click on File menu –> Navigate to menu  Click on the Protect Presentation and select Mark as Final from list of menus.

  • 10. 9 Digital Answers How to change the number of recent documents in PowerPoint 2010 The recent PowerPoint documents are displayed under the Recent menu. The number of recent documents displayed is set to a default value of 20. This default value can be changed using the PowerPoint options. Click on the File menu –> Options link and Navigate to Advanced tab Scroll down to Display section and using the Show this number of Recent Documents you can change the number of Recent documents displayed under Recent menu. Enable display of shortcut key in PowerPoint 2010 ScreenTips PowerPoint 2010 displays information like ScreenTip when you place the mouse pointer on the menu option. For example, the below image displays ScreenTip displayed for Find menu option.
  • 11. 10 Digital Answers But if you want also see shortcut key for this menu, then you can enable the display of shortcut key in ScreenTip using PowerPoint Advanced Options. Click on the File menu –> Options –> Navigate to Advanced tab. In the advanced options, scroll down to the display section and mark the check box with label as Show shortcut keys in ScreenTips. This would display the shortcut keys in the ScreenTips for a menu option. How to turn off the popup toolbar in PowerPoint 2010 PowerPoint 2010 displays a popup toolbar at the bottom of the screen during a full screen slide show. This toolbar can be used for navigating between the slides and also for apply annotations during the presentation.

Click the file menu –> Options link and click the Advanced tab. In Advanced Options, navigate to Slide Show section. To turn off the display of popup toolbar, un mark the checkbox with label as Show popup toolbar. After making the necessary changes, click OK button to confirm the changes. How to enable check spelling as you type feature in PowerPoint 2010 PowerPoint 2010 has a feature which checks for spelling as you type in your slides. If you want to enable this feature then you can enable using the PowerPoint options. Click the File menu –> Options link. In the PowerPoint Options window, click the Proofing tab and navigate to When correcting spelling in PowerPoint section. Mark the checkbox labeled as Check spelling as you type. This would enable the feature and PowerPoint would check for spelling errors as we type in a slide. How to disable advance slide on mouse click in PowerPoint 2010 In PowerPoint 2010 slide show, you can move to next slide either by on mouse click. And using Transitions menu, you can disable or enable the advance slide on mouse click.

How to disable the display of black slide in PowerPoint 2010 PowerPoint slide shows displays a black slide at the end of a slide show. In PowerPoint 2010, this can be disabled by using the Advanced Options. Click the File menu and select Options link. In the PowerPoint Options window, select Advanced tab and navigate to Slide Show section. To turn off the black slide at the end of a slide show, un mark the check box with label as End with black slide. Click OK button available at the end of the window to save the changes. How to check version of PowerPoint in Office 2010 You can check version of PowerPoint in Office 2010 using the PowerPoint Help menu. This would display the following Save As dialog box  In the Save As type dropdown, select PDF (*.pdf) as the value and provided your desired File name.  Click Save button to convert the PowerPoint slides to PDF.

For example if you want to change the layout of the first slide from Title and Caption to just Title then you can use Layout menu option for doing this. The layout option can be accessed from the Home menu. To change the layout of a slide In the home menu option, navigate to slides section and click the drop down arrow next to Layout menu option. This would display the different slide layout option that are available as shown below. Now select the Layout with Title only. By this way you can change the slide layout in PowerPoint 2010.
  • 18. 17 Digital Answers How to change the background style in PowerPoint 2010 slides PowerPoint 2010 allows users to change the background style of the slides. You Change the background style using the Design menu option and customize style depending upon your presentation theme. To change the background style in PowerPoint 2010, click Design menu and then navigate to Background section. Click the down arrow available next to Background Styles to customize the PowerPoint Slide. Selecting the preferred style from the list would immediately change the background style of the slide. How to reset slide settings in PowerPoint 2010 PowerPoint 2010 has a reset option that can be used for resetting the position, size and formatting of slide place holders to the default settings. For example if you have resized the place holders for adding title and subtitle and now want to revert to default settings then you can use this reset option.

And click Reset menu option, to revert the changes done to the slide to the default position. How to turn off display of screen tips in PowerPoint 2010 PowerPoint 2010 displays screen tips along with feature description when we hover the mouse over the menu items. By default screen tip feature is enabled in PowerPoint but if you do not want this extra information to be displayed then you can turn off using PowerPoint options. Click File menu and then Options link

Set the value for ScreenTip style dropdown to Don’t show ScreenTips and click OK to confirm and save the changes. This would disable the display of screen tips for all menu items in PowerPoint. Change the default view for file open in PowerPoint 2010 PowerPoint 2010 by default opens a presentation file in the view it was saved. But it also provides users with the option for changing the default view for opening the document. The default view for file open can be done using the PowerPoint Advanced Options.

Start PowerPoint Slide Show using Windows Explorer Windows users can also start a PowerPoint slide show using Windows Explorer. This is the quickest way to start a Slideshow without launching PowerPoint then selecting the Slide Show view. To start PowerPoint Slideshow using explorer, navigate to the stored location of the PowerPoint Presentation file. Then right click on the file, from the context menu select Show from the list of available menus. This would start the PowerPoint Slideshow and if you want to exit the Slideshow then press Esc on your keyboard. This is a useful tip if you are looking only for Slideshow and not making modification to the presentation file.   • 25. 24 Digital Answers Change default file location in PowerPoint 2010 PowerPoint 2010 has the default file location set as C:Users<username>Documents in a Windows Vista or Windows 7 Operating System. This is the location that will be shown and used as the default location when a user tries to save a presentation file. PowerPoint provides users with option for changing this default file location to some other folder of your choice. To change the default file location in PowerPoint 2010, click the File menu then the options link. In PowerPoint options window, navigate to Save options and then to the Save presentations section. In Save presentation section, set the folder of your choice for Default file location. For example if you set it to C:Projects then the Save or Save As option would now default to the newly set folder location as shown below.

This is useful when most of your organization users are still using Office 2003. As the Office 2003 users will have compatibility issues when they open a presentation file created using PowerPoint 2010. To fix the issue you can change the default file format for saving a file to be compatible with Office 2003. Click the file menu and then the options link. In the PowerPoint options window, navigate to Save options. In the Save Options screen, navigate to Save presentation section and using the Save files in this format drop down you can set the PowerPoint presentation file to be compatible with Office 2003.

Password protection in PowerPoint 2010 The tutorial explains the different ways to password protect a presentation file in PowerPoint 2010. You can password protect a presentation in PowerPoint 2010 by the following ways 1. Using Info Menu Click File menu followed by Info and then navigate to Permission section. Click the down arrow available below the Protect Presentation option and select Encrypt with Password from the drop down list.

Repeat the same as Encrypt Document window for the Confirm Password window as well. A password protected presentation will be highlighted as shown below.
  • 29. 28 Digital Answers 2. Using File –> Save As The other alternate way to protect a presentation file is to use the General Options same as password protection of a PowerPoint 2007 presentation. Click the File mu then the Save As option. In the Save As dialog box, select General Options available as part of tools drop down list. Using the General Options, you can set password to open as well as password to modify a PowerPoint presentation file. After entering the required details, click OK to confirm and save the changes. To remove password protection for a presentation, Navigate to Protect Presentation section as discussed earlier and select the Encrypt Password from the list. Now clear the password that was already set for the Presentation then click OK to confirm the changes.

For example if you want to insert videos from YouTube then there are different ways, like  Download videos from YouTube to local PC and insert the video file in PowerPoint.  Using external PowerPoint add-in and insert the YouTube Videos URL  Embed the Videos in Flash Player.  Use the built-in feature in PowerPoint 2010. The easy and simplest solution is to use the built-in feature in PowerPoint 2010. Let us say you want to insert a demo video of how to Configure Gmail in Outlook 2010 in a PowerPoint slide. 1. Access the video in YouTube and click the Share button and then Embed button.

Navigate to the PowerPoint slide where you want to insert the video. 3. Click Insert menu and navigate to Media section. Then click the down arrow available below the Video menu option and select Video from Web Site. 4. Now paste the YouTube Video code in the Insert Video From Web Site window and click Insert button.

Now you can play the embedded video in PowerPoint during the slide show. Adding notes to slides in PowerPoint 2010 Adding speaker notes to your PowerPoint slides will be useful to remind you about the important points that need to be spoken during your presentation. You can insert notes to your slide either in Normal view and or Notes Page view. Adding Notes – Normal View If you are not already in Normal View then change slide view to Normal. Navigate below the slide to Notes Pane with description as “Click to add notes” and start entering your notes

Navigate to View menu and click the Notes Page option available under Presentation Views section. This would display the Slide and the notes pane with larger area for adding notes. How to hides slides in PowerPoint 2010 There might be scenarios were you have to show the same presentation to different audience. And you may have slides which are specific to each groups. Instead of removing these slides from the presentation you can hide them so that during the slide show only the relevant slides will be displayed to the individual groups. Click the Slide Show menu and navigate to Set up section.

If you want to unhide any slides, then select the slides and click again on the Hide Slide menu option. How to set screen resolution in PowerPoint 2010 PowerPoint 2010 allows users to set the screen resolution for a presentation. The screen resolution will be used during the full screen slide show. Specify screen resolution in PowerPoint Users can specify the screen resolution using the option available as part of Slide Show menu. Click the Slide Show menu in Office Ribbon and navigate to Monitors section. Then click the drop down for Resolution and select the appropriate monitor resolution for the full screen slide show.

How to display gridlines in PowerPoint 2010 This short tutorial is about the option that allows users to display gridlines in PowerPoint 2010. Displaying gridlines in a PowerPoint slide is helpful when you have controls and want them to be aligned properly. You can show the gridlines using the option available as part of the view menu. Click the View menu and navigate to Show section. After marking the check box with label as Gridlines, you can see Gridlines in PowerPoint slide as shown below.

Users can insert header and footer using the option available as part of Insert menu. Click the Insert menu then navigate to Text section. On clicking Header & Footer option the following window will be displayed.

The only extra feature that is available for Notes and Handouts compared to slide is the option for adding Headers. After entering the required information, click the Apply to All button to reflect this change in all the slides. If you do not want to insert header and footer in Title Slide then un tick the check box with label as Don’t show on title slide.   • 38. 37 Digital Answers Insert Header & Footer in Notes How to change slide orientation in PowerPoint 2010 In this tutorial we will see how to change the slide orientation in PowerPoint 2010. PowerPoint allows users to change the slide orientation using the option available as part of the Design menu. When you want draw flowcharts and Org charts then you can use this feature to change the slide orientation based on your chart requirement. Click the Design menu and navigate to Page Setup section.
  • 39. 38 Digital Answers Click the arrow pointing downward below for Slide Orientation and select Portrait or Landscape based on your requirement. You can also change the Slide Orientation using Page Setup option. Click the Page Setup and navigate to Orientation section. This has the option for changing the orientation for slide as well Notes, handouts & outline as shown in the above screenshot. How to change zoom level in PowerPoint 2010 The default zoom level set for PowerPoint slides in normal view is 88%. But you can change the zoom level using the option provided as part of the view menu or using the slider control in status bar.

Select your preferred zoom level then click the Ok button to apply the zoom setting to PowerPoint View. If you want to revert to the original Zoom value then click Fit to Window option available under Zoom section. Zoom Settings in Status bar If you want to quickly change the change the zoom level then you can use slider control available as part of status bar. Similarly to revert the changes, you can use the Fit to Windows option available next to the slider control.
  • 41. 40 Digital Answers Different Presentation views in PowerPoint 2010 PowerPoint 2010 has different presentation views with each one designed for specific purposes. The four different views available in PowerPoint are  Normal  Slide Sorter  Notes Page  Reading View Normal Normal is set to be the default presentation view (but you can change default view) and you will be working on this view most of the time when making any changes to the current slide. This view also has Notes Page Pane at the bottom of the screen. Slide Sorter Slide Sorter view allows users to navigate easily between different slides. You can easily apply any changes to all the slides from this view Notes Page Notes page view is suitable view for adding notes to PowerPoint. Check out adding notes to slides for more information on this view. Reading This shows the slide that fits within the window and you can change to this view when you want to proof read or rehearse. PowerPoint users can navigate between different views by clicking the view menu and using the menu options available as part of Presentation section. If you want to quickly navigate all the views expect Notes Page then you can use the option available as part of the status bar.
  • 42. 41 Digital Answers How to enable spell check in PowerPoint 2010 This short tutorial provides the steps to be followed to enable spell check in PowerPoint 2010. Click the File menu then options link. In the PowerPoint Options window, click the Proofing section then navigate to when correcting spelling in PowerPoint section. Mark the check box with label as Check spelling as you type to enable spell check in PowerPoint presentation. Click the Ok button available at the bottom of the PowerPoint options window to apply the changes.
