  • So I’ve mentioned “Capture” a number of times, and often we get the question “isn’t that just scanning?”. While capture includes scanning – it goes much further. Capture does auto indexing, and separation.Basic scanning only allows you to take a picture of the document, then manually type in information about your document.Capture brings a level of automation that scanning hasn’t dreamed of yet.
  • So the way PSI:Capture works – is we capture the image from practically any imaging device, such as a scanner, copier, fax server or even digital camera. Then we process the documents and then Migrate, or publish the documents to a lot of different systems.
  • Some of the ways we process the documents include barcode recognition or coversheets, we have the ability to read constrained hand print or bubble sheets.
  • The real power of PSI:Capture is the Advanced Data Extraction or ADE module. This is the secret sauce of PSI:Capture, it allows us to auto index by looking for patterns of information. In the example here, you see an EOB or Explanation of Benefits. That’s the left image, the center image is the OCR or text version of that scan. The right image is a screen shot of the index fields. You can see the index fields have been populated, this can be auto indexed or at least allow the users to point and click the data from the image – if auto indexing isn’t possible
  • Now that the documents are indexed, it’s time to publish them – which we call migration. This can be more than one place at the same time, such as a document management solution and a line of business system such as an ERP system (MS Great Planes, SAP, PeopleSoft, QuickBooks).
  • This is an overview of the PSI:Capture Architecture, the clients are all concurrent and can connect directly to scanners or auto-import from fax servers and copiers.
  • A little about PSIGEN before we jump into the demonstration – we were founded in 1995 with the sole mission of reducing or eliminating keystrokes and mouse clicks when capture documents. We are private and profitable, growing at leaps and bounds (70% year over year growth). We go to market through our authorized, trained reseller community and can be found in nearly every vertical market.

  • (Click)While Microsoft® SharePoint® is undoubtedly an invaluable collaboration platform, managing the underlying infrastructure is challenging as there are many components to consider. For an infrastructure management solution to be effective, it must address the challenges faced by those managing the underlying infrastructure:(Click)Minimizing Total Cost of Ownership (TCO)Modern collaboration services require organizations to rethink how to meet the increasing cost of continuous data growth. They must adjust to effectively manage their infrastructure across data centers, hybrid deployments, and cloud-based content. IT administrators now face the challenge of minimizing the exponential growth of costs associated with storing and maintaining data such as:Meeting content lifecycle management needs of users and policies without incurring unnecessary storage cost of expired contentAccommodating growing storage needs while economically retaining inactive content Protecting content as the amount of data increases, without negatively impacting productivityConsolidating content into a single collaboration platform without loss of metadataGuaranteeing data integrity and security while deploying hybrid cloud environmentsEnsuring appropriate content access while promoting user-driven collaboration Integrating social collaboration while maintaining appropriateness and accurate records Scaling maintenance strategy to meet growing business needs without straining IT staff resources. Expanding the services offered for collaboration without requiring custom development(Click)Optimizing Service Level Agreements (SLA)As organizations expand globally, the need for a stable collaboration platform puts stringent demands on the IT administrators who maintain the underlying infrastructure. To meet increasing business and user requirements for constant collaboration and communication, organizations face SLA challenges in terms of reliability, availability, and serviceability.(IN CASE)ReliabilityContent downtime is a cost to the business, both on the user scale and the platform levelAdhering to Microsoft’s best practice standards allow for optimal performance and a better user experience for users, but may cause sluggish performance Availability Maintaining a failover environment can be extremely time-consuming since new content is constantly generatedLoss of customizations, configurations, and metadata from disasters (such as a flood or hardware failure) result in delays in full system restoration, inhibiting productivityServiceability As environments grow, organizations face structure loss that can make content difficult to find while reorganizing architecture with built-in features quickly becomes time and resource intensive IT must have the ability and resources to identify and locate issues quickly(Click)Ensuring ComplianceSuccessful infrastructure management creates increasing compliance pressures for enterprise organizations in 2013. Organizations face the question of how to adopt a flexible, collaborative platform and social initiatives while simultaneously ensuring compliance with a growing set of regulations and mandates. Common compliance challenges in infrastructure management include the need to:Automate access and permissions controlSwiftly identify non-compliant eventsGuarantee protection of intellectual property and sensitive customer dataProvide an accessible, unified platform for sharing informationReduce manual reporting to ensure accuracy and the growing needs of auditorsMitigate the risk of accessibility, operational security, privacy, and site quality violationsAt the end of the day, organizations need the peace of mind to ensure content is available and accessible to the people who should have access and protected from the people who should not.(Click)DocAve for Infrastructure ManagementWhile growth in content and user activity are signs of success, this success can be a double-edged sword particularly with regard to management challenges. With AvePoint’s fully integrated data protection, storage, and management solutions, centrally manage enterprise content with control. As collaboration services are modernized, AvePoint’s support for the shifting cost of infrastructure allows for management of data centers, hybrid deployments, or even all-cloud based solutions. Organizations will be able to effectively support a global workforce no matter where data is stored. AvePoint stitches together your infrastructure seamlessly, allowing you to move and replicate content across environments as well as apply governance policies to your online and on-premise infrastructure.(Click)If a customer asks HOW? Or if you want to get into DocAve functionality:Lowered Total Cost of Ownership (TCO)A centralized platform for managing on-premise and remote infrastructure helps IT administrators plan for a structured and organized infrastructure, which not only improves efficiency for system management but provides a more consistent end-user experience. To minimize TCO, organizations can:Connect to existing file share drives to avoid time- and resource-intensive migrationReduce cost by moving storage heavy unstructured data (BLOBs) from expensive SQL Server content databases to lower tier storageArchive dated and inactive content to cheaper storageAutomate backup, storage optimization, and reporting jobs as well as adopt user-driven site creation and lifecycle management technologiesAnticipate costs and create charge back models with comprehensive reporting that helps predict storage growth, user activity, and appropriate level of serviceMove to cloud-based infrastructure with built-in global redundancyOffering a repeatable, predictable, and governable center of information collaboration allows organizations to drastically minimize their total cost of ownership.Improved Service Level Agreements (SLAs)Consistently meeting stringent demands of a global organization requires planning and intelligent technology. In order to maintain high system uptime, content relevancy, stable system performance, and be able to quickly react and counteract disasters, the technology you adopt needs to not only enable you to offer a superior SLA, but also allow you to maintain it efficiently:ReliabilityAutomate full and incremental backups to run on a schedule with point of time recovery capabilitiesManage change throughout the content, application, and software development and publication lifecycles to minimize risks of human error while increasing reliability of the platformAvailability Provide reliable SharePoint access and collaboration for geographically dispersed usersEnsure full-fidelity platform recovery, including farm components, customizations, configurations metadata and externalized contentServiceability Automate change management with user-driven services that adhere to corporately defined policies Monitor performance to ensure compliance with Microsoft best practices Trusted ComplianceDeveloping a strong risk management plan ensures that organizations maintain a compliant, accessible, and manageable environment that mitigates the risk of accessibility, operational security, privacy, and site quality policy violations. Automate access and controls across the enterprise to mitigate the risk of incidents Detect, track, respond, and resolve to content breaches Implement stronger security controls to mitigate the risk of future violationsProtect content sensitivity, security, and records management with a scalable framework that supports all regional and/or industry compliance regulations and standardsReport on overall compliance health of your environment through a risk assessment framework and end-user friendly reporting platform that identifies single points of failure, potential “bottlenecks”, security risks, and risk related to capacity
  • Today, IT departments must commit to providing collaboration as a fundamental service to the business. Users do not feel inhibited from finding the right platform for collaboration regardless of who is providing the capability (such as Box.net, Dropbox, Office 365, and Google Docs). IT is competing to provide this service first for users, and similar to implementing governance standards for SharePoint, IT needs to support grass-roots collaboration with ease-of-use wherever it may begin. AvePoint is focused on getting your users excited and collaborating quickly, so get ahead of the problem by making our governance solutions part of your rollout or existing collaboration strategy.(Click)Utilize DocAve for Semi-automated SharePoint Governance Enforcement:For organizations looking to simplify and streamline the deployment, monitoring, and enforcement of SharePoint governance policies, AvePoint's DocAve Software Platform helps organizations: Data Protection to Provide information technology (IT) assurance by improving quality of services and minimizing business disruptions Enable security and compliance for business content by helping standardize and enforce corporate IT policies End to end SharePoint Content Lifecycle Management solutions to:Increase business productivity by delivering high-performance global collaboration. Improve operational efficiency while reducing total cost of ownership (TCO) ReportingUnderstanding how your deployment is being utilized by end-users is vital to efficient management and governance. Having access to accurate and timely answers to the following questions is critical to intelligent decision making: – Who accessed what content, and when?– What are the deployment’s most popular search terms?– Who are the prolific producers of content and who are the consumers of content?– How does Site A activity compare to that of Site B and Site C?– What is the average time necessary for a given workflow to complete?(Click)Comprehensive governance solution with Governance Automation by provide SharePoint as a Service and Automating your Governance Policy Enforcement:DocAve Governance Automation allows organizations to provide SharePoint as a service to business users, encouraging the adoption of SharePoint by automating the way users provision, manage, and modify sites and permissions. Through an intuitive service catalog, which can be accessed from a browser-based management console or directly through SharePoint, Governance Automation helps to ensure all requests are fulfilled within established governance policies by providing a fully auditable business approval process.Service Requests:Encourage end users to adopt SharePoint and enable them to request resources, such as a SharePoint site or site collection, by exposing all available options through an intuitive service catalog that can be accessed directly through SharePoint. Governance Automation resolves ambiguity around provisioning, managing, and archiving sites and site collections and simplifies the way business users interact with IT.Policy Driven:Governance Automation can limit the available options and service levels for site availability, storage allotment, and lease expiration by associating backup, storage, archiving, permissions, and auditing configurations with a policy level (e.g. bronze, silver, and gold), and associate each of those options with charge back to the business departmentROI and Chargeback:Governance Automation enables chargeback calculations to functional business units or departments through the generation of insightful analytics detailing the accountable-business users, classification, and storage usage of site collections and sites for SharePoint assets.
  • Reducing Risk to Enable Compliance   The social focus for collaborative platforms this year is already making waves in enterprises worldwide. The workforce’s culture is shifting away from isolation and refuses to look at inter-office or geographical borders as impediments to productivity. Once a common platform is established, businesses can thrive on the connectivity. However, with increased communication naturally follows increased density of data created as well as increased risk of who is saying the wrong things to whom. (Click)AvePoint helps organizations tackle the spectrum of areas that encompass compliance and risk mitigation, including:Accessibility ComplianceAvePoint enables organizations to easily validate their IT systems, applications, and content against standards-based and custom organizational policies for accessibility. AvePoint’s accessibility features allow users to test against regulatory requirements including: Section 508 of the Rehabilitation Act, Web Content Accessibility Guidelines (WCAG) 1.0 and 2.0, and Common Look and Feel (CLF).Automated accessibility testing for content and IT system frameworks can also incorporate input from human testing to further validate test results and ensure compliance with the most rigorous standards. By aggregating discovered accessibility defects along with additional AvePoint data, such as content access history, organizations can assign priority to the errors for decisive action.Operational Security ComplianceAvePoint’s end-to-end solutions provide an integrated, full risk management life cycle approach that allows customers to address Operational Security (OpSec) requirements and securely manage highly sensitive data. AvePoint helps to close operational and security gaps caused by inadvertent mishandling of data or relaxed permissions controls for information stored on the Web or internal systems, ensuring no information that is sensitive in nature (e.g. ITAR information or logistical data) can be taken advantage of by a malicious third party, drastically mitigating risks of accidental breaches. Privacy Compliance Through a multi-step approach to compliance, AvePoint scans and reports on enterprise content for sensitive data including personally identifiable information (PII), protected health information (PHI) as well as Sensitive Security Information (SSI); tags or classifies that content appropriately; and takes action to protect your environment from privacy violations by deleting, quarantining, securing, or routing content to a more appropriate location. AvePoint can be invoked as part of a real-time compliance risk assessment and risk management system and also used as part of an ongoing audit program, allowing organizations to continuously improve their compliance posture.Site Quality ComplianceEnsure that your content complies with requirements for site quality, brand management, and maintains a consistent look and feel across your organization(Click)How AvePoint addresses the previous compliance areas:From assessments and investigations to standards and enforcement, AvePoint is committed to identifying key content generated in the enterprise and making it accessible to people who should have access while securing it from people who shouldn’t. AvePoint automates access and controls enterprise-wide to mitigate the likelihood of incident while establishing a comprehensive program that not only reflects the priorities of the business, but also implements practices, procedures, and protection. If and when a breach does occur, AvePoint has the ability to swiftly detect, track, and respond and resolve that breach, ultimately driving hardened security controls to further mitigate the risk of a future breach.Work with AvePoint to establish a risk management plan for your enterprise content. AvePoint Compliance Solutionswill be instrumental in protecting the sensitivity, security, and records management of content while establishing a highly scalable framework to support any regional and industry compliance regulations and standards.

  • Capture vs. Scanning • A scanning application is just a means to take paper, and quickly and easily convert it from paper to digital form. They are well suited to environments with very basic needs, and what I call "onsie-twosie" scanning, or low volume environments. • Capture software can be utilized for basic scanning needs, but takes you to a whole new level from a "capture" perspective. These applications typically have a number of ways to "slice and dice" documents, and really focus on efficiency, and minimizing the time required to scan, index and capture data.
