  • In working with customers, we find an interesting phenomenon. While most companies track their assets and expenses, we find that they rarely know how many document output devices they have, how these devices are being used, and what these devices and the resulting documents truly cost.
  • It is very important that companies first understand the costs, impacts and issues with their current situation. There are many areas that impact document output costs. The next step is to create a strategy to better manage the existing print assets and control the rising costs.
  • Most of the CFO’s we work with are looking for meaningful strategies to control expenses. At the same time, they need to find ways to boost productivity and return on assets. The challenge is that these two goals are usually at odds. MPS can meet that challenge by allowing you to control expenses without negatively impacting productivity. Our experience has shown us that this is possible by optimizing your office printing environment which starts with better management of your output fleet.   • There are many issues impacting businesses today and some of these are related to documents and output devices. A few of the issues we find in common when speaking to customers are: -Companies have more document output devices then ever before. -Print costs are rising Increases in volume results in an increased cost related to usage, management and administration of the fleet, negatively affecting productivity and requiring more resources. Additionally, many companies are seeking reasonable measures they can take to protect the planet by selecting partners and products that reduce their carbon footprint. IT departments suffer from an increasing support requirement related to printers. Today, I would like to take a few minutes to explain some steps that have proven to help control the rising costs while reducing your burden for managing the output fleet and being sensitive to the environment.
  • According to the Gartner Group, office printing consumes 1-3% of a company’s annual revenue. This means a $10 million company might spend between $100k and $300k in one year. Some statistics say that office printing volume is shrinking. In some cases this may be the case and we attribute that mostly to companies closing and fewer workers printing in this tough economic climate. However, we are still seeing increasing volumes at healthy companies and color print usage is growing. Managing color growth is especially important since color prints are more costly than B&W prints. On top of the growing costs, most companies that we work with initially had multiple vendors for printer hardware, supplies and repairs.   • Office printing also has a tremendous impact on the environment. The average office employee consumes 10,000 pages of paper per year. Since it takes 60% of a tree to make a case of paper, that means each of your workers consumes over 1 tree per year. Add to that the greenhouse gases emitted by the heavy industry used to make paper. Multiply that across your organization and you can see that printing can have a tremendous impact on the environment. Oil is the primary component in manufacturing new toner cartridges, and utilizing this valuable resource combined with the cartridge potentially ending up in a landfill begs for an environmental print plan.
  • Printing also affects the productivity of your company. Inefficient, aging printers, and improperly maintained devices are prone to breakdown, causing delays in mission critical business processes. We see many cases where mismanagement of materials inventory creates emergency orders leading to increased costs and delays in document production. The management of printers and addressing print-related issues can become a productivity drain across a business.
  • IT departments are also impacted by inefficient printing infrastructures. It is estimated that, on average, 15% of help desk calls are related to the printer and when surveyed, IT departments state that printer issues are a low priority. Many of these calls require an IT person to address the problem. Often the IT person has to call in a third party to repair the device. This problem is further compounded by multiple brands and models of printers. Each one has a different print driver and user interface. All of these situations result in IT personnel having to dedicate time and effort to support these issues instead of managing higher priority items.
  • Fortunately, there is a better way. The executives we work with were excited to learn about our managed print services strategy that helps them manage expenses, boost productivity and free up IT resources along with minimizing their carbon footprint. Let’s discuss how this might work for you.
  • A strategy that has proven to control costs is managed print services. Rather then companies buying print devices, the supplies, and the services separately and then trying to manage it themselves, the recommendation is to outsource the management of the devices and buy the end result which is the printed pages. One monthly invoice for the pages printed reduces the number of purchase transactions and administration of the fleet, and proper management will reduce waste and protect the investment of printing assets
  • A proper managed print services program will provide for proactive maintenance by trained technicians and management of the supplies inventory, increasing availability of devices and reducing delays associated with broken devices or missing supply items. Once the print environment is controlled, workflows can be improved with software and innovative technology. For example, secure printing is a feature that can not only safeguard your confidential documents, but can also eliminate the need for dedicated printers, saving money as well.
  • A good managed print service will include remote monitoring of print devices and reporting of device status and errors. This allows for the appropriate proactive corrective action to be taken with out the user involving IT. Reducing IT’s involvement with printers allows them to focus on the department’s core initiatives.
  • Recycling toner cartridges and paper reduce the amount of raw materials and electricity in the manufacturing process as well as the reduction of landfill space and greenhouse gases from incinerating. Fortunately, many companies are realizing that going green also helps them save money.

Outline what the customers gets from us in terms of services delivered, focusing in on how the offering can enable a single point of contact, ensure that all supplies and meter reads are automatically sent to Xerox for action, and that users do not have to worry about fixing devices as they will automatically alert Xerox to any problems, etc… 4. Outline what those service delivery elements actually mean in terms of customer value, allow them to control and reduce costs, enhance customer experience.

  • In order to adopt a Managed Print Strategy for your business, there are a couple of actions to consider. First, you will need an assessment of your current printing environment to determine what you have, what you are doing with it, and what it is really costing. When that phase is complete, a report that includes the facts and findings needs to be published and reviewed to determine what steps should be employed to reduce and control costs as well as improve productivity.
