2. Board Support Unit – Administration Assistant
My duties included, photocopying, copy typing, setting up templates,
answering the telephone and taking messages.
Team Secretary – Positive Assets, CDWs, Senior Chaplain
I provide all administration and secretarial support for Positive Assets,
Chaplaincy and the Community Development Workers. My duties include
diary management, arranging and providing all administrative support for
meetings, copy typing, maintaining the Positive Assets client database,
monitoring and ordering stationary, absence returns, dealing with all
telephone calls for positive assets and senior chaplain, taking messages
and promptly passing messages on, dealing with all incoming and
outgoing post.
Secretary to Head of Patient Experience and Team Secretary to the
Patient Experience Team
I provided all secretarial and administration support for the Head of Patient
Experience and the Patient Experience Team. My duties included diary
management, arranging meeting, booking venues, arranging
refreshments, minuting meeting, copy typing, compiling results on
spreadsheet system, acting a first point of call, taking messages,
monitoring and ordering stationary, doing absence returns for the
department, dealing with incoming and outgoing post. The Patient
Experience Team consisted of Chaplaincy, User and Carer Development
Workers, Community Development Worker, Positive Assets, Voluntary
Services, Hotel Services
College House - Secretary
I provide secretarial support to both Change Programme Managers for
Hull and East Yorkshire. Andy Flockton the Change Programme Manager
for Hull also manages the Hull AOT at John Symons House which means
he is based there two days a week which means I have to liaise with the
Team Secretary at John Symons House when booking appointments. As
part of my role I work closely with the Mental Health First Aid administrator
to help provide administrative support for the Mental Health First Aid
project. My duties include diary management, arranging meetings, copy
typing, audio typing acting as first point of contact.
Secretarial Support Unit
The Trust has created Secretarial Support Units on both the first and
second floor which perform similar function to the Board Support Unit.
The Secretarial Support Unit on the second floor support the three Unit
General Managers, the Head of Nursing, Heads of Partnerships for Hull
and East Riding, Head of Organisational Learning, Head of Child &
Adolescent Emotional Well-Being Services, Principal Manager, Legal
Services and Pharmacy. Therefore I have moved into the Secretarial
Support Unit on the second floor. Where I still worked for both Heads of
Partnerships, but continued to support the Board Support Unit.
3. Partnerships/Board Support Unit - Secretary
I worked I work part-time for the Board Support Unit helping support anyone who
needed the extra support one of my duties includes preparing the TMT agenda,
Trust Board agenda , maintaining the Board Support Unit databases and
maintaining the Board Support Unit Procedures. I also still work part-time for the
Heads of Partnerships. My duties included acting as the first point of call, copy typing, filling,
taking messages, diary management, meetings preparation including preparing agenda
and papers, taking minutes of meetings.
Business and Planning – Secretary
The Planning and Partnerships department was split into two therefore
Planning became part of Business Development and Partnerships went into
the Nursing Directorate. Following this I moved into Business and Planning
so I was still working for both planning and partnerships. This meant I become
more involved supporting the secretary for Head of Business and Planning.
My duties included answering the telephone, diary management, copy typing,
filling etc.. .

I worked in the Planning and Partnership Department at Beverley,
Westwood Hospital. . My duties include answering the telephone, taking
messages, general word-processing, setting up meetings, co-ordinating
workshops, sorting the post, ordering stationery. I worked for about five
people in the department I also supported the PA to the Director of
Planning and Partnerships.
Bridlington
Hospital
Admin Assistant
I worked at Bridlington Hospital as part of a Voluntary scheme in the
Medical Records Department for a fortnight. Where my duties included
filling, answering the phone and data input. I found this really interesting
even though it only lasted a short while.
