    • Ebsco provides two ways to change customholdings information:1. Download holdings in .csv format – makenecessary changes – upload data back incolumn-delimited text format2. Use Ebsco’s Custom Editor tool to makechanges to individual records.
    • The Working Download File……WE WANTED FRIENDLIER!!!
    • Limitations & HazardsThe Custom Editor does not provide access to all fieldsWe found the process of downloading the data, reviewing& changing in Excel, and saving properly introduced manyopportunities for problems.To prove this point, we managed to wipe out a week’sworth of changes by uploading a dated set of data.
    • My solution was to use Microsoft Access to create asimple program to help with some basic A to Zmaintenance tasks:1. Present all relevant fields from a record in a form2. Allow edits to any field3. Provide an easy way to build an upload file4. Incorporate one-click functionality to create the tab-delimited text file that Ebsco requires for uploadingchanges to custom holdings.All-in-all it has been useful and has simplified the workflow for making changes to our custom holdings.
    • Access Database Title FormIncludes records for approx. 77,000 custom & managed holdingsData from Ebsco A to Z download data
    • Access Database Holdings FormThis is a form with data for the LinkID-level data
    • Making ChangesChange holdings dates on this form…And then add to theUPLOAD FILE
    • Make as many changes to asmany titles as you need to…When you CREATE FINALUPLOAD FILE, a column-delimited txt file will be createdin the specifications needed byEbsco A to Z AdminAnd looksomething likethis in Notepad
    • From the A to ZTitleWizard, chooseUPLOADCOLLECTIONSelect thefile you justcreated…AndUPLOADEbsco A to Z Admin: Upload Your File
    • Your changes will be reflected on the publicsearch interface almost immediately…

    • Modify any field in our Custom Holdings: Multiple Fields Multiple Records
    • Create a Formatted, Custom Upload File: Formatted as tab-delimited, text file Ebsco field headings in the first row Just like Ebsco A to Z likes!
    • Log change: Formatted as tab-delimited, text file Ebsco field headings in the first row Just like Ebsco A to Z likes!
