Planning the perfect corporate event takes a lot of work and it won’t be easy, but here are a few fundamental tips on how to create a successful conference, meeting or mixer event.
3. Without having a purpose to the event, you could waste a lot of
time and money for something that creates zero value.
Every decision after you decide on a purpose should support
your main goal.
5. Give yourself plenty of time to confirm the arrangements. As
with most events, securing a venue is the first and most
important step.
When booking a special venue, you need to do it as far in
advance as possible to secure your desired date.
6. The sooner you confirm arrangements, the more time you have
to focus on maximising your RIO.
8. When planning a corporate event, is important to set a strict
budget and be sure that you budget for the unexpected. It's
also important that you are aware of all fees and taxes for any
estimates.
You’re over
budget!
If I now calculate with the
exact amount spent on the
event, we are under budget.
You were granted a
budget, so stick to it!
No problem, see, I rounded
all of our expenditures up
when I wrote the report…
Stop trying to distract
me! Do better next
time!
10. Develop open communication with your vendors and be very
clear with specific instructions of what's expected from them.
You also want to have open communications with your clients
and their guests.
12. Be prepared for the unexpected. Maybe the sound system fails.
Maybe your keynote presenter bails. Can you cope and move on?
13. Be sure to have a technician on-site. If your event would require
equipment such as speakers, microphones, projectors, etc., you
want to make sure to make a list of all the things you would need
and make sure you have someone on-site to fix any technical
problems.
15. When you're planning a corporate event, especially a large
event, be sure to plan for things
outside of your control. Visualize any pitfalls, make emergency
and contingency plans for the unexpected, such as weather or
technical issues.
