      THE PROCESS
      THE AGREEMENT…
      When your organization is ready to involve HelmsBriscoe, I will begin the initial site selection search for meetings requiring 10 guest rooms per night or more.
      THE REQUIREMENTS……
      You provide the basic requirements for the program such as agenda, desired location(s), preferred dates, meeting space requirements, guest room block estimate, & other details pertinent to the initial search.
      THE RESEARCH……
      Using HB Connect, our hotel database of more than 95,000 properties, I will research the markets you are requesting. Included in this step is research to identify any special or exclusive offers f that your program may qualify for. Specific hotels requested by the planner will be included, as well others that may fit your program.
      REQUESTING A PROPOSAL…
      Requests for proposals will be sent out to the hotels, generating a variety of details which I will compile into an easy to read grid format for your review.
      NARROWING THE DECISION…
      Using the hotel grid provided, you will select one or more hotels that you are interested in pursuing additional details on. Should you require additional information, sales kits, a site tour etc., I am more than happy to coordinate these as well and ensure you have ample information and time before making your final decision.
      THE FINAL CONTENDER…
      You select the hotel of your choice and I will request the contract.


      NEGOTIATIONS…
      I will review the first draft of the contract from the hotel for pertinent clauses and concessions. A clause will be included in the contract stating the hotel will pay a placement fee to HelmsBriscoe and your rates have not been increased to cover that fee. You will receive a copy of the contract for review, & we will work together to negotiate the final agreement. Once final, you are asked to sign the contract and return it to the hotel for countersigning.
      YOUR SITE HAS BEEN SELECTED!
      The process is complete and you are ready to begin working directly with the hotel. I will continue to be available to assist you and will follow up after the program with you.
