  • Notice of Position Available October 3, 2012POSITION TITLE: Transaction and Marketing AssistantDEPARTMENT: Brokerage (Hashimoto/Grooters Team)REPORTS TO: Meredith SuterLOCATION: 1800 Larimer Street, Suite 1700, Denver, CO 80202POSITION DESCRIPTIONThe Transaction and Marketing Assistant performs a broad range of administrative duties for a team of brokers.POSITION RESPONSIBILITIESAssistant Responsibilities:  Provides accurate and current pricing and property information on listings or transactions (with specific prior approval from broker).  Orders demographic reports for specific properties and extrapolates information for offering memorandums and proposals.  Links PDF versions of completed marketing collaterals to database record.  Creates and queries selected investor mailing lists.  Creates and maintains property listing websites.  Maintains, updates, queries and posts marketing tools to team website.  Responds and logs requests for information from investors and brokers.  Assists with marketing and financial analysis team to create marketing-related collateral pieces including offering memorandums, proposals, flyers, and postcards.  Maintains, updates and queries team databases.  Manages and documents all property due diligence files. Uploads and maintains due diligence files on property website. Provides file access to buyer/seller as required.Escrow & Closing Responsibilities:  Manages the escrow process for specific deals  Creates timelines for purchase contracts and keeps contract dates updated and in compliance  Requests copy of receipt of earnest money deposits  Orders preliminary title work for each active property  Reviews title work for requirements and exceptions  Reviews surveys for compliance with title work  Verifies work is in progress on loan applications, appraisals, property inspections and environmental reports  Verifies release of inspection, books and records, title, financing, survey, environment and property insurance contingenciesGeneral Responsibilities:  Drafts accurate and professional correspondence, proposals, leases, contracts and special projects.  Prepares updates and distributes weekly marketing reports to owners with broker approval.  Tracks and expedites contract documents to ensure the final execution of transactions as directed by brokers.  Utilizes company provided templates and tools to prepare production-ready marketing and pitching materials for presentations, broadcast emails, postcards, invitations, brochures and updates as needed.   • Page 2Notice of Position Available: Transaction Manager/Analyst 9/5/12  Maintains impeccable records management systems for brokers by working within the defined overall company file structure.  Coordinates travel arrangements as necessary.
