IBM released IBM Connections 5.0 in IBM SmartCloud. We have compared the new functionality about file sharing with the IBM Connections app without extension with File Jockey, and with File Jockey, combined with a business app (we have used GoodReader).

Note: File Jockey is not competing with the IBM Connections app, it has added value and is presented on the IBM website on the 'Integrated Applications and Services' web page!

  • 1. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com File sharing with IBM Connections 5.0 with and without File Jockey Marten Vosmer posted this on June, 2014 IBM released IBM Connections 5.0. According to IBM these are the new functionality related to files: Use new mobile features to navigate, favorite, comment, and access the latest files from your device. Synchronizing files - IBM Connections app With IBM Connections 5.0 you can now add a file, stored in a community or in Files, to the new Sync functionality. Disadvantage compared to File Jockey with Goodreader is that you have to add each file that you want to synchronize separately to the Sync, it is not possible to select multiple files at once or select an entire community or folder.
  • 2. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com Advantage compared to File Jocky with GoodReader: the Sync option in the IBM Connections app presents a number when there is an updated file available that needs to be synchronized.
  • 3. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com The IBM Connections file is synced automatically or manually, depending on your synchronization settings you have chosen
  • 4. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com Synchronizing files – File Jockey - GoodReader In GoodReader I have created a connection with IBM SmartCloud. If you need guidance in creating this connection, just read the IBM SmartCloud manuals. Click on the IBM SmartCloud connection in GoodReader to establish the connection. Added value of File Jockey to the IBM Connections app; it's up to you what you want to synchronize, all your communities at once ...
  • 5. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com synchronize a single community ...
  • 6. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com a folder, or just a single file In this case I've chosen to synchronize a file. The following message appears, just click Proceed You will be asked to select the preferred storage location in GoodReader for the file to be synchronized to. Select the location (in My Documents, in Downloads, ...) and click Download here & Synchronize.
  • 7. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com The GoodReader sync parameters are presented, leave them like this and click Sync
  • 8. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com The file is downloaded The downloaded IBM Connections file is now available in GoodReader, a green icon indicates the file can be synchronized with the IBM SmartCloud server. As mentioned before the great advantage of File Jockey with GoodReader is that you don't have to add each file separately to the Sync, you can add for example an entire community at once of you like.
  • 9. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com All you have to do when you open your GoodReader app to start working with your files in the IBM SmartCloud environment is to click the Sync button. It is a disadvantage compared to the IBM Connections app that it is not indicated if there are updated files available, so you always have to press the Sync button. You can choose to update all files, communities, folders etc at once by clicking the Sync button at the bottom or you can choose to sync each file, community or folder separately by clicking the Sync button beside it.
  • 10. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com Favorite a file - IBM Connections app In the IBM Connections app you can now favorite a file, similar to the like options in IBM Connections in the browser. Just select a file, select the three dots, select the i icon and in het footer on the right you see a smiley face. This 'favorite' is only visible inside the IBM SmartCloud environment.
  • 11. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com Favorite a file – File Jockey - GoodReader With GoodReader you can also favorite files, this also only for use within this app. Select Manage Files, select a file and click the Star option. There are ten colors available. You can use different stars for example for communities and for files.
  • 12. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com Give access to a file - IBM Connections app A new feature in the IBM Connections app is to possibility to give access to your files, located in Files. It is not possible to give access to files located in Communities. Open Files and click on the three dots beside the file you want to give access to. Select the people icon. Now you will see an + icon become available. When you click the + icon you get three options to give access to the specific file: With Organization, With People, With Communities. Let's choose With People. Just type in a name, select the correct name and choose the Access rights.
  • 13. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com This person now has access to the file. Notice the message at the bottom of the tablet screen The selected person will receive an email
  • 14. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com What action the person will choose, 'open this file', 'download this file', etc, he or she will be asked to login in the IBM SmartCloud environment There is another new option to share files; email a link to a community or file. All you have to do is keep your finger at the black line and two options become available. The arrow is for adding the My Files to My Favorites at the top of your opening screen in IBM Connections, the left icon is the link icon, just tab this and a link is stored which you can past in an email for example.
  • 15. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com The link will look something like this: https://apps.na.collabserv.com/communities/service/html/communityview?communityUui d=588356c1-7b82-4f63-bc47-29984b28e612 Note: The file is opened in the browser and not in the IBM Connections app. With this option the person still needs access to the IBM SmartCloud cq IBM Connections environment to be able to view the file(s). Give access to a file – File Jockey - GoodReader In GoodReader you have the possibility to email a file. Click Manage Files, select a file (it is not possible to email a community) and select E-Mail.
  • 16. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com GoodReader attachments will be used to mail the file. The person who receives the email is no able to access and to modify the document (unless protected in the document properties). ------ Note: there is a file lock option in IBM SmartCloud, this does not prevent people from giving access to others.
  • 17. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com File upload - IBM Connections app File upload is not new, but still I want to show you the added value of uploading files to IBM Connections app with and without File Jockey Adding document to the IBM Connections app is less interesting compared to File Jockey with GoodReader. For example in a community, you click the + icon. You can now choose photo or video from your mobile device to add to the community. This photo is directly uploaded to the community. But with a file this is not possible. When you access a file from the community you have to select another app to be able to edit the file. You can for example use Pages when it is Word document you want to edit. When you are done editing you can upload the file to the IBM SmartCloud environment by choosing the IBM Connections app.
  • 18. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com You can leave the file name as it is or choose to change it. The result is the same, the file will be uploaded to My Files, it is not possible to select a community.
  • 19. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com File upload - File Jockey - GoodReader When you use File Jockey combined with GoodReader you can select one or more files to upload to the location you prefer, including uploading to communities.
  • 20. Marten Vosmer: +31 (6) 22473076 | marten.vosmer@lialis.com | http://www.file-jockey.com Just choose a location and click Upload, followed by any amount of files you want to upload. Depending on how you have set your GoodReader settings, GoodReader will inform you when a file already exists so you can choose how to react The file is uploaded with GoodReader and File Jockey to IBM SmartCloud ----
