Asset Inventory Management Improve service
Organizations are often hard pressed to identify the actual state of their hardware and Management from
software assets. This has a definite negative impact across diverse business areas. Western Blue
Organizations can positively impact cost reductions and increased efficiencies by leveraging
inventory asset management and configuration management tools. It is most effective to take an
enterprise approach instead of approaching configuration management and asset management
separately; only then can the right tools be purchased and integrated for the maximum impact.
If projects are approached together, enterprises will gain efficiencies in staffing and processes
where tool integration can be successfully achieved.
Western Blue specializes in optimizing your IT asset and network infrastructure. We
encompass the technical, operational and financial dimensions for a fully integrated solution
that leverages industry leading tools like Microsoft’s SMS, Altiris, Marimba, PS’Soft, CA,
Remedy and others that will facilitate:
• Simplify and automate manual processes
• Create better information to make better decisions
• Improved efficiencies
• Financial integration
• Process improvement
• Integrated approach
• Direct cost savings
Without accurate hardware inventory, hardware acquisitions are often made ad hoc, making
it difficult to realize the cost advantages of volume purchases for the exact equipment needed.
Managing the expiration of leased hardware is made more costly when that equipment is
difficult to locate or has been modified.
Without accurate software inventory, organizations must over‐pay for licenses, support, and
maintenance, or risk exposure to fines for illegally using software. The organization is exposed
to undetected risk because it cannot locate unpatched machines and the presence of banned
software. And without either form of inventory, planning OS migrations, bulk moves and
application roll‐outs are that much more difficult and costly.

Western Blue Asset Management Overview
The strength of the Western Blue solution lies with the speed in which it is realized, the
quality of the data, the secure accessibility of the data for various business needs, and most
significantly how it provides daily transparent inventory without any additional management
The server component is installed within a day, and it is typically a matter of one or two
weeks to roll‐out the agent to desktops. Optionally, the agent can be included in the image on
any machines purchased from Western Blue. Once enabled, inventory is kept current to the day
and is always available to authorized staff through a web‐based reporting interface. Hardware,
configuration, OS, patch levels, and software are all captured in detail. Software usage can be
tracked to determine whether endpoints actually need expensive software that may be on their
The gathering and delivery of asset information is transparent to the organization—it is very
low impact to users, the network, and IT staff. Because of its low‐impact, efficient web‐based
transport, inventory is typically current to that day on over 95% of endpoints, and approaches Reduce costs,
100% coverage within the last week (see Western Blue—The Technology Difference). Improve service
To retrieve the data, authorized users log into an on‐site web‐based portal provided by the
Western Blue Server to generate any of over 250 pre‐assembled and targeted reports from this Management from
database. This portal—the Report Center—is enterprise class, meaning that not only does it Western Blue
scale to tens of thousands of endpoints and hundreds of report users, but is built with the
understanding that the data is potentially sensitive and should be controlled by enterprise
policy. Based on policy that IT administration controls, some users are able to maintain and
create new reports for use by others, some can only run reports designated for them, some only
receive automated reports in email, and still others have no access at all to the data.
A complete report builder tool is integrated with the web‐based interface for generating
customer‐specific reports, and the database is SQL/ODBC‐compliant so that the data can be
accessed from other reporting interfaces should the customer choose. As an additional service,
Western Blue can deliver targeted reports through Western Blue Custom Asset Reporting
services for users with more custom needs. This provides a simple ongoing way to turn‐around
custom reports (of whatever complexity) quickly from experts in hardware/software inventory.
With the Asset Management solution in place, customers will have up‐to‐date
comprehensive asset inventory information readily and transparently available‐‐information
necessary to drive efficiencies and reduce costs across the organization.
Asset Tagging & Reconciliation
When customers purchase hardware from Western Blue, they can leverage our asset
reconciliation service to automatically account for all hardware from the time it is ordered,
through delivery, through internal moves and changes, and retirement.
Serial numbers for every system that leaves our doors are recorded in our database. This
information automatically and securely flows to the customer’s Asset Inventory database.
When the machine is installed in the customer environment, it automatically sends to the
database a complete inventory keyed on its serial number. This confirms delivery of the
equipment in the database. Administrators can now track not only delivery, but ongoing
moves, adds, and changes completely automatically. Because Asset Inventory returns network
location and last user (as part of a complete hardware/software/configuration inventory), assets
can even be broken down and tracked to particular departments and users.
Reports will audit machines with expiring leases, allowing administrators to quickly identify
any changes that may have occurred to that machine from its original baseline and avoid
administratively costly non‐compliance. Finally, reports are generated that flag machines that
have disappeared, helping administrators track down and eliminate attrition through loss or Reduce costs,
theft. Improve service

Software Usage Tracking & Software Seat Recovery
As mentioned, organizations often don’t know how many software seats are installed in their
environment and at which version level. Even more critical, there is usually no way to
determine whether software installed on a seat—and taking up an expensive license—is
actually being used. The two together can lead to significant costs. If they want to be in
compliance with their licensing agreement, customers must over‐purchase licenses, service &
maintenance to cover seats that may or may not be installed and if installed, may or may not be
used. Over‐estimates and over‐purchases can drive raw software costs up significantly.
The only alternative to these scenarios is to risk non‐compliance—which is not only illegal
but can result in very expensive fines—or to begin tracking what software is really needed and
We offer an optional add‐on solution to Asset Inventory that tracks and monitors software
usage across the enterprise. Administrators and planners can view how often and when
software was last used, and use this information both to retire unused seats as well as to
provide accurate counts that reduce new license purchases and ongoing service and
Some of our customers have realized benefits of over 30% in reduced software license costs
once they took advantage of the accurate count and usage of software we provide.
This solution is especially powerful when combined with Application Management, as
software can automatically be removed based on usage policy—eliminating any manual or
remote uninstalls and attendant IT staff impact.
Change Management Monitoring
Unauthorized, unmanaged moves, adds, changes, and fixes to system assets—whether by
users or by technicians in the field—are a large source of unnecessary IT costs. Such
unmanaged changes not only result in untracked hardware loss, unnecessary calls to support
and technical follow‐ups, but impede cost reduction available through consolidation,
standardization and centralized management.
These changes are invisible in most environments, surfacing only after they cause problems. Reduce costs,

We provide an add‐on component to Asset Inventory Management that automatically and Management from
transparently monitors changes to hardware and software assets on the day that they occur. Western Blue
Daily, weekly, and monthly reports are automatically delivered to IT management that detail
machine moves, re‐images, and renames, hardware addition or removal, service pack, hotfix,
and patch additions and removals, and software installs, uninstalls, and upgrades.
By comparing these automatically generated reports to authorized changes, IT managers can
immediately detect and address the sources of costly unmanaged change.
WesternBlue.Net Hosted Solution
In our most typical implementation of Asset Management, we install the software or a pre‐
configured server with the software on the customer’s network. The solution is then local and
internal to the customer, though it can be remotely managed through Western Blue services.
In some environments, this may not be desired or necessary. Customers may not wish to
purchase up‐front an additional server, may want to try out the solution in a limited release, or
want their data backed‐up without having to do it themselves. Still others like the added benefit
of tracking equipment even when it has left the premises. In these cases, a hosted solution would
be ideal‐‐as long as their data was still readily available and completely secure.
Western Blue offers a hosted solution through our WesternBlue.Net portal. Inventory data is
sent transparently and securely over an SSL connection to a secure “lock‐box” dedicated to
them. Because of the Western Blue technological advantage, traffic is minimal (3K‐5K per day)
and not noticeable to the user even across dial‐up.
Access to the customer’s inventory database is tightly controlled and locked down to entitled
customer users through a secure, encrypted, user/password gated portal. This guarantees that
only authorized users within their organization—and no one else—has access to their data.
Customers can still build their own reports and queries, with the added benefit of
automatically leveraging Western Blue created reports that are added periodically or on‐
demand for customer use.
Finally, because the solution is Internet accessible, lost or stolen equipment will always
“phone home” to Western Blue even if has left the premises. This can become a valuable tool for
further addressing hardware loss and theft—which in many organizations is a significant cost
hidden by inadequate tracking of resources.
