My Name is Tim Price-Walker, my background is……….. Introduce the topic of the presentation. I will take you through how the world of work has changed and the thoughts of our Collabor8 White Paper - the 8 principles of Collaboration, then I will talk to you about some of our own research in the way meetings and meeting spaces haven’t yet evolved, despite the technology being available followed by our own proposition about Unified, Collaborative Meeting and Room Solutions from Steljes, the benefits and compelling ROI Models , our conclusion and Questions and Answers.
Before we do this I would just like to spend a couple of minutes telling you about who Steljes Limited is:……….. You may not have heard of us, in fact you are more likely to have heard about SMART. But here is the BUT, we are the UK Authorised Distributor for SMART Technologies and were the company that Introduced SMART Interactive White Boards into the UK back in 1997. This is typical of what we do. We focus on Innovative Technology that improves the way we Live, Learn and Work and as our strap line suggest we focus on bringing to market Technology with Purpose.
We have been pioneering innovative technology for over 20 years now and on our timeline we have: In 1988 launched the worlds first commercially available LCD panel In 1993 launched the worlds first commercially available LCD Projector In 1997 were appointed distributor for SMART Technologies In 1998 achieved top 10 position in the Sunday Times Fast Track 100 companies for the second year running A range of exclusive distributorships for NEC, Turning Point Technologies, Mainline amongst 10 others signed in 2010 and we continue to innovate with new emerging interactive and collaborative technology solutions.
There is a wide interest in our products and services through Steljes and our Partners, and we consult with organisations on a wide range of issues and technologies, proposing solutions that address real business needs with tangible, innovative collaborative technology solutions. These are just some of the organisations that we work with providing a wide range of solutions for their needs. We have worked with clients like Deloitte on an Innovative Collaboration Centre , Ernst and Young on their CUBE solution and we continue to work with companies like O2 with solutions across their real estate and BT Agile Work Space at Adestral Park Ipswich around Collaborative Meeting & Room Solutions that combine a range of technology solutions from software to interactive white boards, video conferencing and meeting management to provide holistic solutions.
Now you have got to know us a little better, I would like to take you through the way the world of work has changed. What are the pressures of work today…. There is no doubt that the business pressures are ever increasing, the need to be more competitive is greater and the need to trade internationally have all placed pressures on our time, our way of working and the places we have to work. Take you on a journey…. So let me take you on a journey about our own hierarchy of needs for solutions and the way organisations and technology have adapted in the modern working world,……
I would like to introduce to you our Collabor8 White Paper on the 8 principles of successful Collaboration. It clearly will go into a lot more detail than I have time to walk you through today. But some highlights and insights may make you feel it is worth a trip to see us today to get a copy. When we talk about new ways of working certain things have changed – walk through the quotes These probably do resonate with many of you here today, but organisations are all at varying degrees of adoption of new practices in the work place and in the technology they are utilising to provide solutions. But at the end of the day, the key driver is the skilled workforce you employ in this fast paced modern world, where the perceived need to travel has soared, where work is more agile and project focused and pressures on time have never been greater for the individual,…. lets look at some of the drivers and the key issues….. Nb Third space are dedicated offices that similar professional people will congregate to work interactively and collaboratively, this is referred to as the guild in the white paper.
Here’s a word matrix out of a report we looked at from Telework Research Network that looked at Results Based Management and the keys to unlocking talent and increasing productivity. At the heart of a business is clearly its employees, with high focus on the work, results and management. But key to many employees is the flexibility they desired and needed when working. And balancing their personal lives. The work life balance .
To build in flexibility you have to build in flexibility in the work spaces in the office, but you also need flexibility on where and how they work, at home, home office, on the road in a car, internet café or airport lounge or even client premises. In order to do this what is critical is the technology that makes them efficient and effective where ever they are. When you come to retain your best talent this is key to them as well as is the experience they get from the technology and how easy it is to adopt. Lets face it my work place is now where ever I am. And where ever I am I need the appropriate tools to let me do my job to the best of my abilities. Working at home – 12.8% of UK workforce end of 2009 Whilst travelling In street cafes ( Activity Based Working or AWB is now the new way of work – requiring different tools, approaches and facilities)
The Collabor8 whitepaper reviews research from a range of studies that points towards a future where people will interact with each other using effective technology from a range of different spaces, These in the report are referred to as The Academy – Corporate Office – Desktop to more formal and informal work spaces The Lodge – working at home or home office Agora – In the field And finally the Guild - which is specialist cluster of people by profession skill or trade working in dedicated offices, a third space The trend is away from the desktop to dedicated rooms or spaces for particular projects , and project work is bringing together multi disciplined teams from across organisations and locations, which means meeting spaces and technology to drive collaboration and bring them together remotely has become a significant driver. The emphasis on the traditional office is in decline with more focus on meeting rooms and spaces for different types of working. In the diagram shown, people find their own balance or equilibrium, based on their profile. But what is clear is that the ‘academy’ corporate centre will contract, while work in the agora and lodge will increase. We think this means more project meeting spaces will be needed in the academy with less individual desk space. But the kinds of space provided by the academy will be different. When people do come into a building, they will do so to be with other people. They will want to interact and collaborate, and so much of the space will be different, providing places for people and not containers for desks and paper. This approach requires a number of factors to be put in place, from management culture to new work styles that enable mobility as well as enabling technologies that allow place independent working. It is the first stage on a journey towards ‘activity based working’.
Working today is a complex activity, there are a multitude of tools & channels available for people to communicate with. We think there is a category missing here, data collaboration should be next to voice and video and an additional category for Meeting and Room Solutions using interactive whiteboards and displays, should exist alongside audio conferencing, video conferencing and telepresence. It is the difference between web conferencing which tends to be passive and broadcast as opposed to our meeting solutions that are interactive and collaborative for both inter and inter company collaboration.
To achieve success, we have identified 8 principles for successful collaboration. As the diagram illustrates, the move to a different style of work requires integrated thinking between the three key pillars of any organisation – its people, its workplaces and its technologies. By looking at the mental, the physical and the virtual, a different set of behaviours can be established (such as collaborative work) with new processes supported by innovative infrastructure. The 8 principles are really about moving from analogue to digital and making it easy to do. So when you brainstorm, meet and interact, you need to ask how can you capture this digitally, once you can it becomes about the digital flow of content. In a digital space people need to know your availability where ever you are working, real time – the Corporate Jelly Bean and you can see examples of this with Plantronics and its remote headsets that are linked to presence status within UC Solutions. Web2.0 was moving the internet from an approach based around the activities of ‘find and use’ to a concept of ‘share and expand ’. Folksonomy develops these themes and advances the concept of the ‘semantic web’ to a future where collaboration can become meaningful within a corporate community. What is clear is that collaborative space, rich in technology, with flexible infrastructure and versatile settings will be a critical success factor. Physical space shapes behaviour, and so by creating the right collaborative space, the behaviours desired for collaborative work can be shaped. This is confounded by the other formats of communication that exist today, from formal letter, through fax to email, instant message, text message, web discussion forum, tweet or blog. What medium do you use for what purpose and in what format? A new guide to collaboration and communication etiquette is needed, together with a new language – the rules need rewriting. A change management programme needs to be introduced to allow people to understand and identify new behaviours necessary for successful collaboration. Psychometric types suggest that it is often extroverts that dominate team sessions, while introverts find it hard to contribute. Systems for inclusive collaboration and behaviours that allow democratic participation are essential for success. As we adopt new technology we recognise it is about bring together augmented technology and the need to annotate & interact with technologies you use every day like the Microsoft suite of products.
We want to share the results of our collaborative technologies survey report as we think it reveals some interesting points about whether we have changed with the technologies that are available today. We surveyed over 200 medium to large sized organisations and senior decision makers in a wide variety of organisations and industry sectors . The results will speak for themselves and for those who want a hard copy we have these also available on our stand……. Lets take a look and set the scene for you… The survey is about the way we interact and collaborate in meeting rooms
Clearly organisations are still cost driven with reduction of travel and hotel costs still being the overall top choice in peoples rankings with nearly 40% rating this top driver. A reflection of the current climate? Second in the list is increasing communication and collaboration across your organisation – for us this means the productivity of your people. From the results there is a continuing focus as third place is about increasing productivity to improve sales. We know a lot of people still talk about carbon footprint and sustainability, but it was the least popular business driver for top choices and we think this is achieved by addressing the other key drivers for an organisation,…… This is all clearly linked to how, when and where people meet and the next slide shows some other research from Forrester that puts this into greater perspective for us…..
It is clear that the world of worked has changed, project teams are more diverse and disparate and the colleagues you work with no longer necessarily sit next to you. Teams are formed across functional areas and geographical regions and you can’t ignore the fact that whilst we need to work more effectively with our colleagues – intra company, more and more of us are working with other companies as the culture for outsourcing non core activities is given to partners and suppliers, and this becomes key in deciding the types of solutions you need to deploy…..
Bearing this in mind and because of the multitude of solutions shown on the chart for software collaboration solutions, we can see how many would be intra company solutions rather than necessarily inter-operable, inter company solutions. This may at first seem a relatively small issue, with people outside your organisation able to join on your platform rather than theirs, this may be ok for passive and broadcast meetings but when you need to interact and collaborate you need a single, simple solution that will bring disparate teams together. Ultimately what we need is that single, secure platform that everybody can use and that enables us to interact and collaborate effectively , especially as meeting is the key business function for knowledge workers in a modern work environment, having a single platform to enable these meetings remotely is key to the drivers we talked about previously….
So having set the scene on how the world of worked has changed and is changing, to then answer the question have we changed with it we see some interesting results with 49.5% of organisations having a technology solution for their meeting spaces. We think for many though this is still email, audio conferencing with maybe a bit of web conferencing and video conferencing thrown in (ref Forrester Research) And this is born out by our next slide that suggests the tools for meeting room spaces when you interact and collaborate are still traditional tools or part solutions from those previously talked about. Lets take a look,…..
So have we changed yet? According to these statistics we haven’t. Just look at the results, with 89.6 still writing up minutes after a meeting, flipcharts still used by 54.2% closely followed by dry whiteboards and post-its still being used as a business tool! We were clearly pleased by how many had interactive whiteboards, but in a digital world we should have changed by now……… shouldn’t we?
The technology has changed, but clearly the people haven’t changed with it. Face-to-face still remains a core interaction . Why is this? We think it is because the tools don’t go far enough to create a natural way of working . Have you ever tried writing with a mouse to convey an idea or concept or draw a diagram? It is difficult if not impossible, You need natural tools and familiarisation otherwise people will not adopt the tools in the way you want them to. It will be a continuing conflict unless you underpin change with the right tools and support…….
Lets start with the conclusion from the report as we believe that the reason why we are all here today is that we are all looking for technologies and solutions that will give us a competitive advantage. To us that also means looking at your highest expenses, your people, and making them more efficient, effective and most importantly productive. We hear so often statistics that suggest that 30% of meetings are a waste of time and whilst we talk about a whole host of issues we still believe that because of this productivity is at the core of any solution. And here we are talking about meeting & room solutions and the focus of peoples drivers can be seen in the next slide……
We know that solutions are actually a mixture of providers working together where inter-operability is critical to overall success and we also know that a big hole in the solutions footprint is around meeting and room solutions to get people to interact and collaborate in new ways without the need to travel ….. From our own research at least 14.6% of organisations are seeing an increase in business travel…… Yet the drive overall is to reduce travel and costs……. But….
Only 19.8% have produced an ROI model for the solutions they are looking at, so it seems we may not be addressing the issue. It may be that the ROI model doesn’t exist for many – we now have an ROI calculator that can simply take you through the cost benefit analysis,…. Because the survey also said …….
