  • 2. Running head: BUSINESS WRITING STEPS 2 Business Writing Steps 1. Audience Identification • Identify the reader before sitting down to write. Gaining clarity of the person or people who will read the communication written. • Questions determination for the questions and answers session with the audience. Appropriate tone of voice must be determine before presentations, as it is important regardless of who is within the audience. o Knowing the audience helps in format selection for business communication. 2. Writing Purpose Determination • Determination of purpose before communicating through writing. Knowing the purpose helps on topic determination reducing tangents within writing. 3. Format Choice Idea • Business communication can be conducted through letters, emails, newsletters, memos, postcards and advertisements. o Postcards and sales letters are ideal for communicating with potential clients and customers, o Newsletters and memos are ideal for communicating with management, and staff. 4. Background Information Research • • • Thoroughly research topics including all details, facts, and figures to be written. Illustrate points for business reports using charts, graphs, and images. Use customer testimonials when communicating to potential clients and customers. 5. Audience Capture • • • Business writing must be clear, concise, and creative. Provoke a reader reaction by beginning with a question. Gain the reader’s attention by establishing a connection through telling a joke, giving a story, sharing an unusual fact or a piece of information. 6. One Topic • Remain focus on one topic avoiding reader confusion.
