Unified Messaging is a new feature in Exchange 2007 which aims to combine a number of different stovepipe messaging systems into a single unified environment.

Allow me to give you a bit of an idea of the agenda for this session. We will discuss Unified Messaging, what it is and the landscape of the market as it exists today. We’ll discuss some of the benefits of UM both to the end user and the IT professional. I will give a brief demo of some of the great features of the Exchange Unified Messaging solution. We’ll then get a little more into the nuts and bolts and tell you about the details of UM, how it works and how it is deployed. I’ll then discuss how we within Microsoft are using it, as we have been using it internally in parallel with its development. We’ll also discuss some additional products Microsoft offers where we see potential synergies either today or in the future.

In the 2003 wave of products Microsoft offered superb products in areas such as E-mail, scheduling, web conferencing and presence. Microsoft will now offer much more with UM, Audio, Video, soft and IP phones and call management. The first of these products to ship will be Exchange Server 2007 with Unified Messaging, which will deliver immediate productivity benefits and cost savings while laying the groundwork for a UC future.

So what is the environment as it exists today? Today, as you well know, the common setup is to have separate voice and e-mail messaging systems. e-mails come into a server like Exchange and are accessed through mail clients like Outlook. voice mail systems are independent systems accessed via a telephone. Faxes often come into stand alone machines and typically have to be manually sorted by a secretary or other personnel in order to be delivered to the proper end user. Both the users and administrators have to use multiple sets of tools, one or more for each of these systems in order to manage their communications. We think this is a very inefficient setup and that we can do better than this.

Today’s solution is not effective. We have a vision for making messaging much more people-centric rather than machine-centric. We want to add value to the end user by bringing new and valuable content including voice mail and fax messages into the Exchange inbox, and make life better for the administrator by giving them one infrastructure to manage and only one set of tools to be trained on. Another very interesting part of our vision is to sort of go the other way. While we are bringing new content into inbox accessed through the familiar tools users know and love, we are also offering a new way to access your Exchange data, via a plain old telephone. We believe this rounds out the Exchange access method, complimenting Outlook, browser access through Outlook Web Access, mobile phone access through Exchange ActiveSync with a new access method, Outlook Voice Access, access through a vanilla telephone using either speech recognition or touchtone.

The first piece of Exchange UM is to bring all messages into one inbox. E-mail, fax and voice mail are fully integrated to the end user. The result is that all messages are available in whatever tool is most convenient. You can access messages on the desktop with Outlook, the web with OWA, your mobile phone or even over the phone.

Exchange Unified Messaging also includes Outlook Voice Access. Outlook Voice Access allows you to call in on any phone, just like you do today with your voicemail system. Using speech recognition or Touchtone you can access all your Exchange data, including voice mail, e-mail, calendar, personal contacts and your entire company directory.

The consolidation of all messages into one inbox has a number of benefits to the administrator. It very much consolidates his world. With Exchange’s UM solution you get a single point of administration. You only have to be trained on the one system and have a single place to do troubleshooting. There’s only one directory infrastructure, Active Directory, which is used for both voice and e-mail. You provision a user once for the whole thing. There’s a single security infrastructure with one unified security model rather than having to secure two separate discreet systems. You can also use your existing storage and backup solutions for all message types instead of deploying additional ones.

A big point as well is the potential for site consolidation. Exchange 2003 allowed many organizations to consolidate worldwide e-mail infrastructure into one or a few sites. voice mail systems never allowed for anything like this. Exchange Unified Messaging makes it possible. Even in a case where there is a PBX at each office, you can consolidate the voice mail systems in a few sites. You absolutely do not have to deploy an Exchange server in each office, whereas generally you had to have a separate voice mail system for each office.

We use entirely VOIP protocols for communication with the Exchange server. In the Exchange server you just need a plain NIC card. Some other UM solutions require ISDN cards, other custom hardware or other equipment. This is not the case with the Exchange UM solution. In the last slide we touched on the story with PBX connectivity. One scenario is where you have an IP-PBX. These are newer systems and the market penetration of these systems is still limited, but the number of deployments is rapidly expanding. For these types of PBXes the PBX will be able to natively communicate with the Exchange UM solution. Nothing else will be required. The bulk of organizations still have traditional PBX systems, however. For these type of systems a VOIP gateway sits in between the PBX and the UM server and does translation from TDM to SIP.

It is important to note that VOIP gateways are actually quite inexpensive. The investment involved in deploying these at sites with PBXes is relatively minor. We are working very closely with a couple of partners to test that these gateways do in fact work easily and integrate cleanly with many PBXes. This is a key priority both for us and our partners. The gateways support many of the most popular legacy PBXes. Microsoft neither recommends nor recommends against an upgrade to VoIP with regard to UM. You should make that decission based upon what makes business sense, not based upon deploying UM.
