Purpose <ul><li>To record faculty activities in the following areas in a convenient and accessible manner that will allow up-to-date reports at individual, divisional, departmental, and SOM-wide levels. </li></ul><ul><li>Education – teaching hours, teaching in clinical settings, directing research with students, etc. </li></ul><ul><li>Research - Publications and Grants/Contracts (reported in $ and faculty effort) </li></ul><ul><li>Clinical - New Mexico Medical Group & Cancer Research & Treatment Center (CRTC) activity reported as work RVU’s (Relative Value Units) </li></ul><ul><li>Administration - administrative positions & committee participation </li></ul>

The data entry menu will appear in the middle frame.

  15. 16. Rules for entering Publications: No punctuation –Example of author entry Brown B Green M FAD adds punctuation when the faculty report is generated. The only exception is punctuation in the publication title. If the title has a ? Mark at the end. Add the ? Mark Do not put periods after titles.

Edit Publications & Copy to <ul><li>Click on edit and the entry opens up to the data entry screen </li></ul><ul><li>Save again after making changes </li></ul><ul><li>Click on edit and scroll down to the bottom of the data entry screen. </li></ul><ul><li>Names of all department faculty will be listed </li></ul><ul><li>If two faculty in the same department collaborated on a journal article, click on the second author and the publication is copied into the second author’s publication list </li></ul><ul><li>Note when copying a publication, you are now in the second author’s record. To get back to the original faculty member, click the name in the left hand frame </li></ul>

Committees <ul><li>Committee data entry is optional </li></ul><ul><ul><li>(check with your department administrator) </li></ul></ul><ul><li>Enter type of organization, name of committee and faculty member’s role on the committee </li></ul><ul><li>Save after entry </li></ul><ul><li>To Correct a mistake delete and start over </li></ul><ul><li>Each committee has an end date of “continuing” until a termination date is entered </li></ul><ul><li>When a faculty member is no longer a member of a committee, open the time period when the appointment ends and pick a termination date. </li></ul>

Positions <ul><li>Administrative Titles listed on faculty contracts automatically loaded into FAD </li></ul><ul><li>Positions (titles) not included in a faculty contract may be added to FAD by department staff </li></ul><ul><li>Rank is automatically loaded into FAD so do not enter rank in the “Position” entry </li></ul><ul><ul><li>Rank = Professor, Associate Professor, etc. </li></ul></ul>
  20. 21. Example below illustrates the position of Executive Medical Director which is uploaded from the faculty contract. The added position of “Internal Medicine Residency Director” was added by department staff. Only those positions added by staff can be deleted.

Education Tracking Guidelines <ul><li>In 2003 the Education tracking form was revised to accommodate department specific teaching and activities. </li></ul><ul><li>There are 2 sources: Central Sources (see Database Source Chart) and Department entry. </li></ul><ul><li>Sections A to G exist for every department, however, the individual items within each section will vary from one department to another. </li></ul>

Learner Weeks Definition Section C – Mixed Research & Educational Activities Learner Weeks-for a six month time period Student A works 24 weeks = 24 learner weeks (maximum amount) Student B works 8 weeks = 8 learner weeks Student C works 10 weeks = 10 learner weeks 42 learner weeks for a 6 month period Learner Weeks is the measurement of activities in this FAD section and are derived from the following formula (example):

Grant Note Entries in FAD <ul><li>Only Department Administrators may add a “Grant Note” to explain participation in Program Project or Center Grants. </li></ul><ul><li>These grants may not be represented in the grant information automatically loaded from the Pre-Award Database. Honors <ul><li>Purpose:   </li></ul><ul><ul><li>To create an information record of SOM faculty accomplishments and their success in receiving awards </li></ul></ul><ul><li>What :  </li></ul><ul><ul><li>Professional honors for specific situations or life time achievement awards and/or honors. </li></ul></ul><ul><ul><li>Professional Organization Officers or Honorary Government Positions. </li></ul></ul><ul><li>Information collected : </li></ul><ul><ul><li>Name of honor, organization, monetary award, description of honor </li></ul></ul>
