4. Your CV &
Motivation Letter
• Main purpose of a Motivation Letter is to create an INTEREST in your
candidate.
• So that they will be INVITED FOR AN INTERVIEW.
• Motivation needs to be RELATIVELY SHORT but need to give CLEAR
INDICATION as to WHY YOU ARE SENDING the CV and why your
candidate is a MUST TO INTERVIEW.
• In other words why the candidate MATCHES THE REQUIREMENTS OF
THE SPECK.

5. Clear Motivation
I have noticed that in many motivation letters, the motivation for the
job is not actually clear.
Very often, the letter is limited to giving the arguments why the
person who is applying is a good candidate:
• Well spoken .............
• Well presented .............
• Blah Blah Blah .............
That is fine of course, but it does not tell the reader:
• Why the person wants this particular job
with their Company.
• Why he is a good match.
• What value he will add.

6. Structure of a
Motivation
I have found that the following structure for a motivation letter is very
effective:
A) Your motivation:
• Why is the job good for your candidate?
B) Candidates (extensive) profile:
• Why are they good for the job?
C) Because they have interesting/useful:
• Qualifications
• Skills
• Knowledge
• Traits
• Other talents….
D) Look at the speck and use verbatim clients words, listen to what your
client is saying and put this in your motivation.
E) Use the speck as a guideline.

7. Avoid Negativity
but be Honest
• Concentrate on POSITIVE REASONS why they are suitable, even if
(some of) the real reasons are not positive.
• They may be unhappy, overworked or bored in their current job, but it
does not make the best impression if this comes across too clearly
...............

IT’S NOT WHAT YOU SAY BUT HOW YOU SAY IT!!!!!
Finally, you have to put a closing phrase and say that you vouch
for your candidate and would like them to have the opportunity to
explain their motivation and profile more in detail during an
interview.

8. Tips & Tricks
Don'ts:
1. “Average is not enough”.
• Your motivation letter has to be different than that of others.
• So don't copy your motivation letter from others done, but make sure that the letter
is tuned to the company and job you sending the CV for.
• Your Motivation need to talk on your behalf – Need to Sell your Candidate.
2.“Stick to the point”.
• Companies want to know why your candidate want to work in their company.
• Don’t use complex language constructions or long poetic phrases.
• Be as concrete as possible.
3.“Don‟t let your motivation letter and your CV „echo‟.
• The motivation letter should be complementary to the Candidates CV where you can
highlight some of the relevant items out of the CV.
• Don’t list all the items of your CV in the motivation letter.
4.“Don‟t exaggerate”.
• Make sure that you don’t mention new items in the motivation letter (work or
education or other skills) which are not mentioned in the CV.

Do's:
1. Mention clearly why the company has to choose your Candidate for the job. Be
concrete, convincing, without being arrogant.
2. Always start with your Candidates positive points.
3. Client will definitely ask about weaknesses in the interview.
4. Formulate your letter positive and future oriented.
Example:
“This candidate is eager to learn and prepared to adapt himself to the new working
situation...”, instead of “I have no experience in this working field.”
5. Motivate your statements with facts and experiences.
Example:
“Glen brings three years experience in a leading Pharmaceutical Company where his
core responsibility has been than of production cost savings. His success over the
last 3 years was 25.4% ”

Collect information about the company.
In this way you show interest and you can adapt your letter better to the company
needs and function.
Put only the most relevant facts and experiences in your motivation letter.
Keep it brief and clear.
Don’t forget to tell them something about who your Candidate is as a person.
Mention what Candidate have reached for so far at educational and or professional
level (former work or stages) and their career perspective.
Tell Client in which way you distinguish your Candidate from others with the same
education and diploma.

• Did you mention clearly the function your Candidate is apply for?
• Did you motivated clearly why you thing they are suitable for the job
function?
• Did you mention why he / she fits this job?
• Are you as concrete as possible, with examples where relevant from the
Candidates CV or other experiences
• Did you give the Client an impression of who your Candidate is?
• Did you check motivation letter for errors?
• Did you double check if the CV is still
up to date and relevant for the function?
